SPECIAL COLLECTIONS CATALOGING PROCEDURE
I.A.10
Preservation photocopies
Reviewed Nov 17, 1998 by Richard Lindemann
Special Collections makes preservation photocopies of
certain materials for public service use when use of the original
would risk damage. Usually, the original is a bound item for
which encapsulating is impractical and that is either brittle, in
fragments, or otherwise in such condition that its use will
result in immediate damage.
Separate bib/item records are necessary to describe both the
original and the photocopy:
ORIGINAL:
1. Catalog following established rules and collection-specific
procedures.
Add 590 note:
UCSD's copy is restricted because of its condition; a
photocopy is available for research use.
Code item STATUS: p ("Staff only")
2. Label the item:
FRAGILE--DO NOT USE--USE PHOTOCOPY
PHOTOCOPY:
1. Catalog following established rules and collection-specific
procedures, creating a bibliographic record in OCLC by evoking a
"new" work form from the catalog record that describes the
original.
