Instructions for De-Accessioning items

Those procedures are painfully bloated and dated. In a nutshell, here's what you need to do for records you want to delete:

  • Change the R CTRL CD in the bib to "d"
  • Delete all item records except for 1 (for monos). Delete all item records and leave just one checkin record (for serials)
  • Delete the call number from the remaining attached record
  • Add a staff note (for monos) or an identity field (for serials) to the remaining attached record saying that yes you meant to delete this record.
  • Call up the bib record in OCLC and delete CUS's holdings from the record. Since you don't share mono records with other libraries, make sure no other campus library is using that record before you delete holdings.

Also, since you guys share serial records with other libraries, if another library is attached to the record you want to delete, just remove all your attached records, and remove "culsp" from the branch in the bib record.

The physical volumes need to be counted, subtracted from our collection statistics, boxed up, and then sent to surplus sales. Contact Jessica Miramontes in Acq about this part since she coordinates all of this.
