          SPECIAL COLLECTIONS CATALOGING PROCEDURE     

                    SOUTHWORTH BOXED SERIALS

These serials are shelved in Southworth Flat Folio and will
remain there in the Hollinger or flat boxes that they are housed
in. Each serial in each box should get its own bib record;
however, to minimize the number of call numbers assigned to a
box, a collective call number will be assigned to each group (see
below). 

As you encounter the following categories of materials, please
consult with the dept. head before proceeding:

     - Post-1950 items (including issues in a run that predates
          1950)
     - Serial titles that are already held in the general
          collection, etc. (when the holdings of said include a
          copy(ies) of the Southworth item(s) in hand).
     - Search OCLC for possible microform records of serials.
     

The boxed serials fall into the following groups:

Group 1: 1936-1939 Spanish newspapers
Group 2: 1936-1939 Spanish periodicals
Group 3: 1936-1939 non-Spanish publications by exiles
Group 4: 1936-1939 non-Spanish publications by others 
Group 5: Postwar Spanish worker's publications
Group 6: Postwar Spanish other publications 
Group 7: Postwar non-Spanish publications by exiles 
Group 8: Postwar non-Spanish publications by others

As you encounter folded publications, unfold and catalog for the
map cases (see II.K.2B). Double check the larger wrappers also in
Southworth FF for any companion issues. 


050/090/   For each serial, assign a call number per group, based
099        on the first serial title in the group. E.g.:

          Ex.:      090     DP269 |b .A16 
                    245 10  "H" newspaper
                         {first title in group 1}

          Ex.:      099     DP |a 269 |a .A16 |a B/W
                    245 10  "J" newspaper 
                         {second title in group 1}

          In other words, treat call number assignment to
          subsequent titles in a group like you would subsequent
          titles of a bound-with monograph (B/W standing for
          "boxed-with", in this instance). For original records,
          keep such subsequent call numbers out of the master
          record. Using an 099 will accomplish this, but you may
          also add the B/W no. as an 090 after updating if you
          wish.

6xx       Assign all appropriate subjects including the following
          per group:

          Group 1:
          651  0  Spain |x History |y Civil War, 1936-1939 |x
                    Newspapers.

          Group 2:

7xx       Trace political parties, relief organizations, and 
          other corporate bodies responsible for the publication
          of these serials as appropriate.

730       Add the following heading to all records, being careful
          to omit it from OCLC master records:

          730 0   Southworth Spanish Civil War Collection.

(935)     We will not retain the accession numbers
          previously assigned to these serials (e.g. "SW 61-8").
          So you do not need to add these in the record.

949       All boxed serials should be assigned the item location
          cptx (with status o and item type 34 as usual).

          Make sure to overlay the brief record of the serial
          being cataloged by adding ";ov-.b[Pac record no.];" to
          the first 949. E.g.:

          949  1  *recs-b;bn-culsp;b1-s;ov-.b25596603;

          Make sure also to add |d box and |e [no.(s)] to the 
          call number for the specific boxes a serial is housed
          in. E.g.:
