SPECIAL COLLECTIONS CATALOGING PROCEDURE
Southworth pamphlet sets

Numerous Southworth pamphlets were grouped into made-up sets
in order to speed up cataloging during the NEH grant (ca. 1982-
1984) under which most Southworth materials were cataloged.
These sets were created based on similarities in authorship (e.g.
speeches of Francisco Franco, Dolores Ibarruri), subject (e.g.
editions of a labor law, works about a single event, pamphlets
from a Communist Party conference), or format (e.g. patriotic
songsheets, broadsides satirizing Alfonso XIII).
The following procedures were used in cataloging these made-
up sets. If appropriate materials are acquired in future, the
same technique can be used; future acquisitions would be
cataloged for the Southworth monographs collection, not the
pamphlet collection (see also procedure II.K.3).
Arrange each made-up set in whatever order is most logical,
e.g. by author, or title, or date, etc. Assign a number, in
brackets, to each item (see also field 505 instructions below);
this item number is typed at the end of the call number on the
streamer or envelope and is treated as volume numbering on
INNOPAC.
If these procedures are questioned or should require
revision, refer to the LC policy on "Collection-level cataloging"
published in Cataloging Service Bulletin, no. 53 (Summer 1991),
p. 10-14).
049 Use CUS# for sets to be shelved with Southworth monographs.
Codes XUSN and [Pamphlet]CUS# were variously used in the
past for pamphlet sets.
090 Assign a call number appropriate to the overall content of
the materials in the group. If this seems to be a problem,
perhaps the set is illogical and should be reconsidered.
1xx Assign a personal or corporate main entry when the same main
entry would be appropriate to all items if cataloged
individually. When this is not the case, use a title main
entry.
245 Compose a descriptive title for the set, in English, and
place it in square brackets:
Ex: [Speeches and reports]
Ex: [Publications from the 6th Congress of the Spanish
Communist party]
Ex: [Nationalist and Republican political songs] II.K.4, cont.
260 In most cases, give only a date or span of dates, as
appropriate. If all items were published in the same
country and/or by the same publisher, give that data also.
Ex: 1936-1939.
Ex: Barcelona : P.S.O.E., 1937-1938.
300 Indicate the number of items contained in the set, any
appropriate illustration statements, and the range of sizes.
Ex: 4 pamphlets : ill., maps ; 11-21 cm.
4xx Ignore series statements.
500 Add as first note:
500 Materials assembled by the UCSD Library.
Add other notes as useful and appropriate.
Ex: 500 Nos. [3] and [4] are broadsides.
Ex: 500 Nos. [2] and [3] are translations of no. 1 in set.
Mention variant titles judiciously, e.g. where a cover title
is significantly different from a title proper. Trace any
variant titles that are mentioned in notes.
Ex: 500 Nos. [5] in set has cover title: Leyes sociales.
505 Unless a set consists of more than ca. 20 items, list all
items in a formal contents note, including assigned item
number in brackets, title, statement of responsibility, and
date for each item.
Truncate lengthy titles and omit trivial other title
information; use ellipses as appropriate. Add a bracketed
statement of responsibility when none is found on the title
page but the item would carry a 1xx main entry if cataloged
individually. Supply additional information necessary to
uniquely identify an item, such as important other title
information not appearing on the title page, edition
statement, or imprint.
When inferring dates, use e.g. "(1930?); do not bracket. If
no date appears on the piece and a firm probable date is not
easily available, e.g. in the preface or colophon, do not
supply a date.

6xx Apply the same subject headings that would be used if the
items were being cataloged individually. If this seems to
be a problem, perhaps the set is illogical and should be
reconsidered.
700 Make name/title or title added entries, as appropriate, for
710 all items in the set, unless the set consists of more than
740 ca. 20 items.
