            SPECIAL COLLECTIONS CATALOGING PROCEDURE

HARRY DANIEL LIMITED EDITIONS CLUB COLLECTION

Reviewed Nov 17, 1998 by Richard Lindemann

GENERAL PRINCIPLES:
o Catalog all items for "Rare."
o Accept copy as found but:
       Add 590 provenance statement.
Add 790 Daniel, Harry, |eformer owner.
Add headings for the publisher and for printers as
indicated on the t.p. or colophon, adding a note or
expanding field 260 with delimiters |e and |f as
          necessary.
Add headings for "added authors" that appear on the title
          page, including translators, editors, contributors,
          authors of forewords, and illustrators.

o For duplicate copies elsewhere in the Library, catalog
     Daniel copy for "Rare."

o For duplicate copies currently in Spec. Coll., pull the
duplicate copy and hold both for comparison.

I.Pre-Cataloging

A. Load a quantity of books on a book truck; be sure to provide
adequate support for books remaining on the shelf.

B. Search Pac for copy matching the piece in hand.

     1. If the search reveals a copy already in SPC, prepare a
call slip for the SPC item, pull that item and shelve it on
the designated shelf (with goldenrod slip laid in) together
with the piece in hand for comparison. Once a retention
decision is made, be sure that call slip streamers are
     removed.
     2. If the search reveals no copy in SPC, proceed to II.
     Cataloging.

II.Cataloging

A. Search OCLC for best copy. Evaluate that copy and determine
whether to accept and edit, or to enhance, copy found. Use
overall quality or lack of access points as your primary criteria
in determining whether enhancement is appropriate. A fully
described record lacking Descr. "a" is perfectly acceptable -- do
not enhance merely for the sake of revising punctuation or other
non-searchable elements.

041 Confirm or add as needed.

050/090 Accept LC-type call numbers as found in 050s or 090s
[except PZs, which should be reclassed using the author's
classification number], but consult the PAC shelflist to
insure appropriate cuttering. If it is necessary to change
the call number, retain the 050 in the record and add UCSD's
number in the 090 field. If an 090 is changed, delete the
previous 090 so that only one 090 appears in the record.

240 Apply as required by AACR2rev., especially for translations,
being sure to convert these fields to 700 |t following UCSD
     "Voluminous Authors" procedures when indicated.

245 Confirm, correct or add the appropriate indicators,
     especially for non-filing characters.

246 Apply added headings for variant titles liberally,
especially for variant titles found on covers, spines and
     slip case labels, indicating their source when appropriate;
     e.g.:

          246 1_ |iSpine title:|aBacon's essays on breakfast

260 Usually, the publisher statement will include both publisher
and printer, grammatically linked. In these cases,
transcribed the statement as found in |b. For Descr. "a"
records, when publisher and printer statements are not
grammatically linked, include the place of printing and the
printer in |e and |f. For other Descr. standards, provide
the printer information in a note.

300 Confirm or correct pagination or volume count found in OCLC
copy, and always measure and emend the volume size.

500 Accept colophon quotations found in copy, but do not
transcribe these statements fully unless doing so proves
useful as a note to support tracings.

For items in slip cases, always include the note:

          Issued in a slip case.

590 Always add the note:

590 UCSD's copy has bookplate of Harry Macmillan Daniel.

Always add a note indicating the copy number and the
presence of signatures when these appear in the colophon.

6xx Most items require no subject access, but accept subject
headings as found. When appropriate, add the topical/form
     heading California|x... following departmental procedures,
and consider appropriate access points for literary
     criticism and biography.

655/755 Follow the department's policy in applying terms from
ACRL genre and book features thesauri; do not accept
precedent of terms found in PAC as authority to apply those
     terms exhaustively.

7xx Always include the following added entries:

       710 2_ Limited Editions Club,|epublisher.
       790 1_ Daniel, Harry,|eformer owner.

Include added entries reflecting the printer whenever
possible. When both an individual and a corporate entity
are identified as the printer, trace both; apply the realtor
term "|eprinter." Do not trace additional printers of
     graphic materials unless graphics predominate.

Make added entries for all entities named on the title page
who are responsible for the intellectual content of the
piece, including translators and illustrators. Select and
apply relator terms following departmental procedures.
