Special Collections Cataloging Procedure for Analytics & In-AnalyticsCreated June 15 , 2007 by Christine Megowan. From time to time, selectors may decide that an individual issue of a serial, or a specific article or chapter within a serial or monograph should be cataloged separately. In these cases, the cataloger creates an Analytic (for an individual volume of a serial) or an In-Analytic (for a specific article within a volume) record. Related to "In analytics" are offprints and detached copies of articles originally in periodicals. Directions for cataloging these are given on OCLC's Bibliographic Formats & Standards, Special Cataloging Guidelines page. For examples of Offprints in our catalog, search under call numbers QH426.5.C75 and QD415.P38 AnalyticsWhen creating an analytic record, you are cataloging an individual issue of a serial as though it were a volume in a monographic series. Use the "Books" workform in OCLC, and bibliographic level "m" (monograph), just as you would for a volume in a monographic series. Formulate the description according to AACR2 Chapter 2, but use the prescribed sources applicable to serials. Consider the distinctive title of the issue in hand to be the title proper, and add a series statement (440/490) and a title added entry (730) for the title of the serial. When formulating notes and assigning a call number, you will need to identify whether MSCL intends to collect more issues of this serial, or only one or two particularly significant issues. The easiest way to do this is to ask the Coordinator for Technical Services or, failing that, the bibliographer or department head. If MSCL has several issues of the serial in question, and the analytic issue is to be shelved with the rest of the run, use the call number for the serial, but include the volume and number at the end of the 090. (i.e. 090 __ AP2 .L547 vol. 33, no. 9). Add a local note saying: SPECIAL ISSUE OF [Serial Title], SHELVED WITH THE SERIAL. Or, for items shelved in ANP Serials: SPECIAL ISSUE OF [Serial Title], SHELVED BY SERIAL TITLE. Also, make sure that there is a record for the serial, and that the holdings statement includes the volume you are cataloging. If we are collecting only one or two volumes, the bibliographer will often choose to shelve them separately, in which case you should assign a call number based on the subject matter of the issue in hand, not the serial as a whole. Add a local note saying: SPECIAL ISSUE OF [Serial Title]. In these cases, it is not necessary to create a record for the entire serial. For an example of an analytic record, search under NX1 .S88 no.17-18 (Content's Dream / Charles Bernstein). In-AnalyticsIn-analytics are treated similarly to analytics. The most significant difference is that, instead of a series statement (440/490) and title added entry (730), you should add a 773 field as instructed in OCLC's Special Cataloging Guidelines Do not use a 260 field. Instead, include publishing information in the relevant subfields of the 773 linking entry. In the 300 field, give only the pages of the article or chapter you are cataloging (i.e. 300 __ |a p. 56-67). For items in ANP, because items are not shelved in call number order and cannot be found otherwise, add the following note: PUBLISHED IN VOL. [##], NO. [##} OF [Serial Title], SHELVED BY SERIAL TITLE. For items in other collections, add the note: PUBLISHED IN VOL. [##], NO. [##} OF [Serial Title], SHELVED WITH THE SERIAL.
