Subject: Annex

Two types of incoming monographs are being sent to the Annex: CUL
stacks monographs classed in the Z's and any CUL book with "Annex"
pencilled on the location streamer. This memo documents new
procedures for catalogers to use when processing Annex monographs.

In 1988, all CUL stacks monographs classed in the Z's were sent to
the Annex, and all CUL stacks monographs classed in the Z's since
that time have also been sent to the Annex. This has been an
essentially invisible process for catalogers because Catalog
Maintenance staff have been changing item record locations as part
of a larger project. However, the project is now completed, and
catalogers will be responsible for using the correct location codes
and labeling new books for Annex themselves. These books will not
have "Annex" pencilled on the location streamer, it will be up to
the cataloger to remember that all CUL stacks Z's should be
cataloged for Annex. Reference and branch monographs classed in
the Z's should continue to be processed for those locations.

A second category of new books to be cataloged for the Annex are
general CUL monographs which bibliographers are selecting for the
Annex. These books have pink CUL location streamers with "Annex"
pencilled at the top.

Effective immediately, all CUL stacks monographs classed in the Z's
and any CUL monograph with "Annex" pencilled on the location
streamer should be processed as outlined below:

1. Catalogers should write "Annex" at the top of the call number
     in the book.
2. The Annex location codes for item records are:
     ca for Annex stacks
cao for Annex oversize (same criteria as CUL oversize)
3. The bib branch code for Annex is CUL.

Labeling staff will not include "Annex" in the call number label,
but green Annex tape will be applied to all Annex books. The
reason for this is that once renovation is completed, many Annex
books will be transfered back to CUL, and simply removing the Annex
tape will be much easier than relabeling the books.

any questions or suggestions.
