Comm. and TSAC November 5, 1992 UCSD Standards for Serial Records to be sent to DLA for CALLS In trying to identify the Old Burroughs records, there were many records coded in ways that would cause them to go to CALLS, but they do not meet any standards, and in some cases it is questionable whether they should be in CALLS. Therefore, this document outlines what both InnoPac and DLA need to provide minimum level records which do not generate error messages. It also makes some suggestions about additional fields. It has been reviewed and approved with some minor changes by the Cataloging Committee. InnoPac Fixed Fields for Bibliographic Records LANGUAGE Not required by either system but should be completed so both systems can deal with language correctly (especially if other MARC language fields are not present). For nonMARC records goes into 008 when tapes are written from InnoPac. BRANCH An appropriate location code from the list of valid branch locations must be completed for all records in InnoPac. CAT DATE Must be completed or left blank in accordance with UCSD record levels. Used as search criteria to determine which records are sent to DLA for CALLS. MAT TYPE Required in InnoPac for all cataloged material at any level in order for patrons to limit properly. Required for Melvyl and CALLS to determine whether the record is a serial or not for writing the appropriate tape format. R CTRL CD Required in InnoPac and for CALLS to handle records properly. Used as part of search criteria for sending to or withholding records from CALLS. InnoPac Bibliographic Record Variable Fields 008 Required by CALLS to prevent error messages. While it is best to create a real one in InnoPac, a default blank 008 is written to tape if one does not exist in the record. 022 (ISSN) Required if available so our records link to journal article indexes in Melvyl. 245 (Title) Required by both InnoPac and CALLS. 260 (Published) While not required in InnoPac, CALLS produces error messages with this field. 300 (Description) While not required in InnoPac, CALLS produces error messages without this field. Fixed Fields in the Checkin Record Since each record send to DLA for CALLS MUST contain an 850 field, a checkin record must exist for each serial sent. C ACTIVITY Must have a proper code for the record to be sent to CALLS because it is part of the search criteria. LOCATION An appropriate location code from the list of valid checkin record location codes must be included; otherwise CALLS will reject the record and produce an error message. Variable Field in the Checkin Record CALL NO. Not required by CALLS or InnoPac, but should be included in all cases when appropriate. LIB HAS Not required by CALLS or InnoPac, but should be included in all cases when appropriate. (Could be a generic Holdings Unrecorded statement.) NOTE: Since InnoPac puts a period at the end of each 850 field, all checkin records must have either CALL NO. or a LIB HAS or DLA will reject the record because of an invalid location (location followed by period).
