Music Cataloging Processing Workflows

Sound Recordings
Sound recordings will be coming from Allen Allison and Gayle Hughes in Acquisitions, Allen for current purchases and Gayle for gifts. All recordings should have bibliographic records on Innopac with item records attached, and some will have order records. The items should all arrive barcoded, with the barcode number entered into the item record. Printouts will accompany gifts but not purchases.

Lock up CDs in the cabinets in the student area. The left cabinet will contain items awaiting processing/cataloging, and the right those that have already been cataloged. Store LPs on the open shelves by Jim's workstation. All materials will be sorted by where they are in the workflow.

CDs/LPs To Be Labelled/Sorted bin box/shelf Items just brought over from Acquisitions should go here. Label items with an accession number (MU label), and enter the number into the item record using an 099 field. Next, view the bibliographic record to see if there is OCLC copy for the item, and if so, if it matches. If a mismatch, search OCLC for copy and overlay bib. Once the match has been verified, sort into categories based on whether copy is available. CDs/LPs With Copy bin box/shelf This bin box or shelf will store items that have OCLC copy. Pull materials to be copy cataloged here, beginning with CDs, then moving on to LPs.

CDs/LPs Without Copy bin box/shelf This bin box and shelf will store items that have no online OCLC copy. Pull materials for original or variant cataloging from here. Also, depending on workloads, pull materials from here to have minimal-level records keyed on Innopac. Also, depending on workloads, pull materials from these locations to have minimal-level records keyed on Innopac.

CDs To Be Shelved bin box For security reasons, place CDs to be shelved in the Music Library in this box in the right cabinet. Students will check this box at least twice a week to see if items need to be taken downstairs.

Materials To Go To Music Library tub This plastic tub will house items needing to be taken to the Music Library. Put cataloged LPs in it, but lock up any CDs in the "CDs to be shelved" box, above.

Scores
Scores will arrive from Acquisitions from the same sources as sound recordings, and they should have Innopac records online, similar to as sound recordings. Scores from Allen Allison will be sorted by whether they have copy and will be placed on the shelves below. Gift scores will need to be sorted, but will have printouts placed inside them. All should come barcoded and with the barcode numbers entered into their item records

Scores To Be Labelled/Sorted shelf Place only gift scores here. Students will examine the enclosed printouts to verify the match, and then sort on the following shelves.

Scores With Copy shelf Items with exact OCLC copy go here. Pull items for copy cataloging from this shelf.

Scores Without Copy shelf No OCLC items go here. Pull items for original and variant cataloging from this location. Once a score is cataloged, place it on the Export Verification shelf labeled "Music." Don't confuse this with the shelf labeled Music that is meant for Music Library pickup, immediately next to the door exiting the department. EV will verify the online information, and then either send the score to Bindery or label the item themselves.

Videos
Videotapes and laserdiscs will arrive with Innopac records online. George Brundrett will sort through all new arrivals and forward on only items requiring original cataloging. Forward all video materials to Jim for original cataloging Items will be barcoded and assigned accession numbers online by Jim. Cataloged videos materials will go to the EV unit where they will be labelled.
