011023 Workflow decisions record
Background: CJK was using a workflow decision document to record decisions from section meetings. A record could be created that is concise and easy to refer to. It would also be easier to maintain than section meeting minutes.

Decision: Workflow decision record entries would be made when needed after section meetings and email discussions. The record would be accessible from the Music Cataloging Section web page. When the document becomes longer than a few screens a contents finding aid should be added.

Format notes & subject headings for item type
Background
: Some music catalogers were deleting 5xx format notes and 6xx format subject headings in bib records, while others were only deleting 6xx format subject fields:

Decision:
5xx notes with format information (e.g. "Audio CD," "Compact disc," or "Digital recording," or "Digitally recorded, manual sequence," etc.) do not need to be added. However, do not delete them if they are already there.

6xx subject heading with format information, on the other hand, should be deleted because they would be misleading in a subject search.

 


 
011211 Automated update for non-MARC headings
Background: Automated authority headings do not work with non-MARC records.

Decision: Non-MARC records that are produced for local unpublished materials (such as graduate students' qualifying exams) that will probably never be published should have their headings updated manually. It is assumed that other non-MARC records will eventually be replaced by MARC records, so they should not be edited.

 

 
020129 Audio DVD treatment
Background: Unusual format needs special playback equipment and record description.

Decision: From: Peter Mueller -- Date: 1/29/02.
Ken, Stephen and I just talked about this thing. Our recommendation is that the Item type be 59, that material type be D (for CDS) since most people will be searching for something that is almost exclusively audio as a CD, but that the 007 field contradict the the information in the 245 and the 300 (which should both describe it as a videodisc). Also, it will have an FVLDV call number, both for ease of shelving and to underline the fact that it needs to be played in a DVD player. -- Peter

Background: When to use 590s

Decision: Generally, we won't be adding 590 fields to bibs where we have material split between a couple call numbers or locations. This applies to bib records where the 300 field or a 5xx note hints that the item consists of separatable units (e.g., 1 score + 1 sound recording, or 1 sound recording + 1 booklet). If it's unclear from the physical description in the bib record, however, we should add a 590 to clarify that an item has been split.

Background
: Guidelines for retention of copy 2 items were in question.

- Copy 2 LPs that got missed in gifts? Do not retain.
- Copy 2 CDs missed in gifts? Case by case--check with Ken.
- LPs that duplicate CDs already in the collection?

  1. For gift LPs, do not retain.
  2. For LP's already in the collection, case by case--check with Ken.

Background
: No one was individually in charge of handling public services requests for immediate processing of items "in processing."

Decision: These requests will still be directed at the whole unit, but Sandra Stocking will take charge of searching for the item and responding to public services.

Background: These relator terms have not been treated consistently.

Decision: Music recordings should have 'nrt' relators flipped to 'prf'. Spoken word recordings should have 'nrt' relators stripped from headings.

Adding vernacular to CJK materials

ORIGINAL CATALOGING (All formats)

  • Music & Media cataloger will perform original description and provide normal access points.
  • Cataloger will save record in OCLC SAVE FILE (not local CatME file).
  • CJK cataloger will call up save file record, add vernacular characters to the record, update OCLC, overlay the brief Innopac record, and return to original cataloger.
  • Music cataloger will complete Innopac cataloging steps.

COPY CATALOGING (Videos and sound recordings)

  • On OCLC CJK cataloger will key vernacular characters and overlay the existing Innopac bibliographic record. The cataloger will not lock the OCLC record and will not replace the existing record.
  • Music & Media cataloger will catalog the item, as usual, being careful to preserve all the CJK-specific fields. The cataloger will consult with CJK cataloger as needed in case of language difficulties.
COPY CATALOGING (Scores)
  • On OCLC CJK cataloger will lock the record corresponding to the item, add vernacular characters, replace the OCLC record, and export the bibliographic record to Innopac, overlaying the exisiting brief or full record.
  • Music & Media cataloger will catalog the item, as usual, being careful to preserve all the CJK-specific fields. The cataloger will consult with CJK cataloger as needed in case of language difficulties.
  • 080103 -- current policy is for CJK catalogers to work in the online save file. Then M&M catalogers replace the OCLC master record, update, and export.

Correcting errors in CDL bibliographic records

If you happen to encounter discrepancies in any CDL record, please let me or Becky know. Because we have to follow prescribed cataloging guidelines for CDL, we do have special procedures for reporting changes like these.

In the future, you can either put a printout of the CDL record(s) in my inbox, or else send me an email. I don't have a preference.

Subject heading: Live sound recordings

"Live sound recordings" seemed like a potentially messy Subject heading. Discussion in cataloging and the Music Library leaned towards not using it. We should eliminate it from any cataloging we are doing and a clean up will be done on the ones already cataloged.

Subject: Scores bibs to be enhanced
I've set up a black in-basket above my revising shelf that's labeled "OCLC Score Bib Records to be Enhanced."  Please place in it bib records that require attention after you've cataloged them on Pac and have sent the item on.  Make the desired changes on printout and place it in the basket.  Make a photocopy of the score page(s) if you think the corrections are substantial or controversial.
 

 
050119 The labelling document was updated to explain that linking labels are not needed for ORW materials that were separated from their original media. The linking label from that media will continue to point to its ORW. A 590 is not needed.

My unit has a question related to the automated authorities. Will your unit be verifying forms for pattern subject headings where LCSH doesn't bother to establish all the permutations? We'd been doing so in the unit, since it seemed to make sense that the musicians would be best to know how to order a complex subject string of instruments for a chamber music heading. The MARS documentation says the subjects should be left alone by copy catalogers, but this seems like an area it makes sense for them to continue verify the instrument order.

Inter-departmental meeting with Linda Barnhart, Ken Calkins, Jim Cheng, Shi Deng, Tony Harvell, Jim Soe Nyun

Sound recordings not containing roman characters will go through EV to have a pocket label produced for them that can be slapped onto the jewel case somewhere as out of the way as possible. This will allow people handling the CD to see what the transliterated title and main entry are. After EV is done, the item would return to the regular workflow, with the item going through the Music Library for final EVing and delivery.

Genre headings for language on motion picture items.

Except for videos or films of music, all films and videos with text or spoken language other than English should include a genre heading for motion pictures with language terms (as specified in the technical processing notes for videos and films) to be added in the form:

Definition:  DVD-Audio (DVD-A) is a Digital Versatile Disc format, developed by Panasonic, that is specifically designed to hold audio data, and particularly, high-quality sound. This DVD format is said to provide at least twice the sound quality of standard audio CDs and may contain up to seven times as much information. Various types of DVD-A-compatible DVD players are being manufactured, in addition to the DVD-A players specifically developed for the format.

070801 At the July 31, 2007 M&M unit meeting it was determined that the "CD for authority work" note was no longer necessary since processing has not fallen behind receipts for several years.  

 
080131 "Taiwan Music Collection" should be applied to ANYTHING originating in Taiwan, folk, popular, or classical. If something crosses your desk that shouts TAIWAN and it doesn't have the collection 793, add it. If you have ambiguous cases, let me know; for those we can then we can ask for a ruling.
