MP3.com (Vivendi) Phase 2 workflow and procedure

This process will be used to process sounds recordings of popular music for which no OCLC copy was found during Phase 1. While we typically key MARC records for musical materials, the very brief data contained in these records will allow these records to be done as simpler non-MARC records.

RE-SEARCH the items on OCLC using the search keys that will be most useful for your item:

  • Music number search using label number on container, if different
  • Scan title command for very distinctive titles
  • Keyword search using distinctive information from item, using performer, title, publisher, date, and/or format

KEY temporary bibliographic and item records on Innopac:

  • Bibliographic record:Fixed Fields:
    • NO CAT DATE
    • BRANCH: mus
    • MAT TYPE: d
    • DATE of release
  • Variable Fields:
    • "AUTHOR": [Primary composer, performer or conductor]
    • "TITLE": [Main title from disc, either deleting initial articles or using proper skip characters (e.g., for "the," enter 4, being sure to count the space after the article)]
    • "PUBLISHED": [Location] : [Label name or publisher], [Date of release]
    • "DESCRIPTION": [x] sound disc[s] : digital ; 4 ¾ in.
    • "ID NUMBER": [Publisher number exactly as on disc]
    • "AUTHOR" (insert internal tag "b"): MP3.com,|eformer owner
    • "OTHER TITLE" (insert internal tag "u"): [Add prominent additional titles]

Item record:

  • Fixed Fields:
    • Item type: 18
    • Item location (loc): cma
    • Status: i
  • Variable Fields:
    • CALL NUMBER

    • NOTE: Vivendi search [yymm-date in year, year, month, month format]

If, later in the process, you discover an MP3.com record you are working on duplicates another record that has already been cataloged, use the "Deleting Bibliographic Records" process to eliminate the MP3.com reord and return the CD to gift acquisitions. (031113 - das)

Procedures for checking in Vivendi CD's

We will NOT be checking PAC for Duplicates prior to checking OCLC.


1. Check OCLC by Music Publisher Number.
EXAMPLE --- mn:ou3125 No spaces or punctuation.
Check all likely records that appear on the browse screen.

2. Finding and Verifying a record on OCLC
Verify all likely matches using the following guide as a checklist.
Check the top left hand corner of the record to see if the item is Held by CUS before you proceed to the next step.
If held by CUS mark as a Duplicate (DUP) and put aside.
If NOT held by CUS use checklist to verify the best record.
If multiple records appear and are a likely match choose the one with both the most lines and an "I" in the ELvl field on the OCLC record.
If no OCLC record is found put in a box designated for the CD's without an OCLC record. There should 25 disks in the box NOT 25 CD cases.
100 or 110: Author
245: Title
260: Place and Date of Publication
It is VERY IMPORTANT that the place of publication matches.
300: Physical Description.
It should indicate "Sound Disc" for a CD
Be sure that the number of discs matches the item.
Example: A boxed set containing 3 CD's should have a description of:
3 sound discs, digital, stereo 4 3/4 in. (NOT "1 sound disc")
511: Performer and conductor information.
505: Contents note.

3. If Record Matches:
When the best record is found use the following macros to export record.
Use macro to input loc and item type. (F7)
Use macro to input Barcode. Tape Barcode to case.
Use macro to input Accession number and update holdings. Tape Accession number to case.
Use macro to Export. (no. 3 on OCLC screen)
Use macro to Unedit. (no. 4 on OCLC screen)
Use macro to input note **Vivendi CD for authority work
NO PRINTOUT NEEDED

4. Physical Processing
Place Barcode and Accession number in proper location.
Place exported CD's back in the box by Accession number making sure there 25 disks in a box NOT 25 CD cases.
Have a separate box for all CD's that were not found on OCLC. This box also needs to have 25 disks NOT 25 CD cases before it is labeled and put aside.
Log Exported CD's on Statistics Sheet.

5. For Records with No OCLC Copy
Barcode and label the CD
Key minimal Innopac bibliographic and item records
Follow current minimal-level cataloging guidelines for bib record, being sure to input 100, 245, 260, 300, 505, and 511 fields, as needed.
Enter Barcode and call number into item record, as usual, along with an OCLC search note modified into the form: Vivendi OCLC search [yymm]
When finished, send to Music Library.

6. Processing by Music Library
On PAC, in the update mode , call up the item record by barcode.
Verify the author and title on CD matches what is on the screen.
Verify copy #, Ictrl code, Itype, loc, status, call#, and make corrections as needed, and possible insertion of circulation messages.
In bib verify branch, mat type, and make corrections as needed.
Scan the bib record and query cataloging about other possible anomalies/things I don't understand.
