Minimal entry records - scores

All scores should have the following location and item type codes in their item and bibliographic records:

There are three types of information essential to identifying a particular recording:



1. Material description (245, 300 fields)

2. Publisher information (028, 260 fields)

3. Contents (100, 505, fields)



Accurate information in all fields will ensure that an item can be properly found by staff and patrons, and eventually cataloged.



MINIMAL ENTRY RECORDS for scores should contain the following information:


028 (may be more than one): Plate and publisher numbers
100 1: Main composer or editor entry
245 1x: Main title statement
260 : Place of publication, publisher, and date of publication
300 : Physical description
505 0 : Contents note if necessary

NOTE: There is no 511 field in a score minimal entry record.




 

028 fields Publisher information

028 22 = plate number
028 32 = publisher number

There are two types of publisher numbers for scores, plate numbers and publisher numbers. A plate number is found at the bottom of every page of the score. A publisher number is any other identifying number that appears on the score (usually on the cover or title page, although it can also appear on the first page of music), excluding ISMN numbers and barcode numbers. Scores may have both a plate number and a publisher number, and if so, enter both of them as consecutive 028 fields. If there is more than one publisher number, enter each one as a consecutive 028 32 field.

The |b for 028s is the same as recordings: The name of the publisher.

Example:

A score from Doblinger has a plate number of D. 18 733, and the number DM 1289 on the cover. Enter:

028 22 D. 18 733|bDoblinger
028 32 DM 1289|bDoblinger

 

 

100 fields Composer or editor

100 1 Last name, first name

The 100 field will be the name of the composer. For a collection of two or three works by different composers, use the name of the first composer. For anthologies or collections of more than three works, use the name of the editor of the collection. If more than one editor, choose the editor listed first on the title page. If there is no editor, do not enter a 100 field.

Verify the name (and dates) of the composer or editor on INNOPAC using Ctrl-G in Full Screen Edit mode.



 

245 fields Main title

245 1x The second indicator (x) = number of letters + 1 space for articles, e.g., "The" = 4; "A" = 2; this is the so-called "skip" indicator.

Choose the main title from the title page, the caption title, or the cover of the score, in that order. Transcribe exactly. For collections of two or three works by different composers, choose the title of the first piece in the collection. For anthologies or collections of more than three works, use the collective title of the collection. You may choose the caption title or score cover as the main title if it provides more information than the title page.

If the title is foreign, but also has an English translation, follow the main title with an equal sign and the English translation

Example:

245 10 Wiener Orgelmusik aus der 1. Halfte des 19. Jh. = Viennese organ music from the first half of the 19th century



 

260 fields (Place of publication, publisher, and date of publication)

There are no indicators for 260 fields.

1. Place of publication: If listed, use the city (followed by state or country for lesser-known cities). If the city cannot be determined, use the country. If no place of publication can be determined, use "[S.l.]"

Stony Brook, N.Y.
Japan
[S.l.]

2. Name of publisher: The place of publication is followed by a space, colon, "|b" and then the name of the publisher. The name of the publisher should be the same as the name entered in the 028 field. If the name of the publisher is unknown, use "[s.n.]" (check with the catalogers before you resort to this).

3. Date of publication: Use the most recent date on the item (usually a copyright date) for the date, preceded by a comma and "|c"

300 fields Physical description

The first part of the 300 field is a description of the number of physical units (followed in parentheses by either the number of pages or volumes or loose leaves). You don't have to provide number of pages for the parts, since each part may differ in total pagination. Follow this description with a space and a semicolon.

Example:

300 1 score (27 p.) ;
300 3 scores (3 v.) ;
300 1 score (2 leaves) ;
300 2 scores (278 p.) + 24 parts ;
300 1 score (23 p.) + 16 parts ;

Size of the item: |c

Measure the height of the score (not the binding, which may be larger) in centimeters. Use the abbreviation "cm." If the score is wider than it is taller, enter both dimensions using the format HEIGHT x WIDTH.

Example:

300 1 score (34 p.) ; |c 18 cm.
300 1 score (20 p.) + 1 part ; |c 28 cm.
300 1 score (27 p.) ; |c 20 x 32 cm.

If the dimensions of the score or parts differ, enter each dimension in a separate |c following the score or part to which it pertains. Precede the part description with "|a" as below.

Example:

300 1 score (63 p.) ; |c 20 cm. + |a 16 parts ; |c 32 cm.

 

 

 

505 fields: Contents notes

Most scores contain only one work. If the score is for only one composition, a contents note is not necessary. However, if there are two or more works, provide a contents note. If every piece in the collection is by the same composer, you only have to list the title of each work, separated by a double dash. If there is more than one composer, list the information in the following format:

Title / Author -- Title / Author -- etc.

For excerpts from a larger work (such as a single piece from a suite of pieces), use the following construction:

Larger work. Selection ; Selection / Author -- Larger work. Selection ; Selection / Author -- etc.
