Books With Web Sites

 

General Procedures

The 856 field of the InnoPac record allows catalog users to connect directly to a web site from the Roger web catalog record.  It's UCSD policy to provide links to web sites which are either exact full text of the item being cataloged, or very closely related and deemed useful to users.

Always check the URL to see if it works. Go to Roger web, call up the bib record, and click on the blue text under the box that says "Available online." Publishers are notorious for moving their Web pages around at will. If the URL does not work, search around to see if it moved. Usually documents are not deleted outright from the Web.

If the 856 field indicators are "41," the web site should contain the exact text of the piece in hand. Check to make sure that what is online is the same as the piece in hand. Oftentimes, it will say that it is available online but what is online is actually related information, or an earlier or later edition. Sometimes it is necessary to spot check chapter-for-chapter or word-for-word.

If the 856 field indicators are "42," or something else, look at the web site and determine whether it is of value to the user. Valuable information may be: table of contents, abstract, summary, review, sites designed for students using a textbook (there are a fair number of these sites for S&E books), databases to be used with software which accompanies a book, etc. Sites which are not so useful: publisher's web sites, advertisements for the book in hand, sites for the corporate body which has issued the book. Related sites are of less value than exact text, so, when in doubt as to whether a related site is valuable, don't make the link.
 

URL is only for related information

Add a brief 500 note to the record that concisely lists the type of information available. Here are some examples:
500 Table of contents and summary available via the World Wide Web.
500 Student quizzes and problem solutions available via the World Wide Web.
500 Abstract available via the World Wide Web.

If the related information can't be described concisely, use the standard note:
Related information available via the World Wide Web.

Add an 856 field (indicators 42) in the form, "|3[brief description of the content of the web site]|u[URL]"

Once the record is added to Innopac, search the title in Roger Web and click on the link in the record. This is the final check to make sure the URL works. If it doesn't work, fix the URL in the Innopac record.

Make a printout of the Innopac record and place it in the "PURLs to be assigned" basket on top of Becky's file cabinet.
 
 

URL is equivalent of piece in hand

Add an 007 field to the record. In OCLC it will take the form, "007 c $b r $d u $e n." If adding the 007 to an Innopac bib record, press "i" for insert, "y" for marc, and then type over the "008" prompt Innopac gives you with "007." Choose "1" and change the value to "c" ; change 2 to "r"; change 4 to "u" ; change 5 to "n" ; put hyphens in all the bytes of fields 6-12. Note: a Passport for Windows macro is available that will input the 007 field in the Innopac record.

Add a 530 field that reads, "Also available via the World Wide Web."

Add a 655 field with second indicator 7 that reads, "Online resources. $2 local" (note that the period goes before $2 and there isn't one at the end of the field).

Add an 856 field (indicators 41) with the URL in $u. There is no need for subfield 3 in this case.

If the URL takes you to a list of documents, and it is necessary to scroll to the document desired, add a subfield |z to the 856 with concise instructions.  Example:

856 41 |zSelect year of publication, then scroll to document desired|u[URL]

Make the branch multi in Innopac with "ssh," "se," etc., and "net."

Add an item record for the electronic equivalent. The item type should be "43," the location code should be "nnet," and the status should be "f." Add an autostat note with "aev" as the cataloging code, e.g. catfeb01;rv;1;aev. There is no call number needed in this item record. Item keying template "13 disc electronic" has all the correct coding and must be selected when the cataloger first starts creating item records in an Innopac session.

Once the record is added to Innopac, search the title in Roger Web and click on the link in the record. This is the final check to make sure the URL works. If it doesn't work, fix the URL in the Innopac record.

Make a printout of the Innopac record and place it in the "PURLs to be assigned" basket on top of Becky's file cabinet.
 
 

Procedures for IEEE Publications

IEEE now publishes both paper and electronic versions of its conference proceedings. UCSD has an agreement with California Digital Library and OCLC to catalog IEEE conference proceedings, using the catalog record for the paper version and adding information for the electronic version. SCU catalogers perform all the work for the CDL version of the records, and all the work necessary to coordinate with OCLC. CCS catalogers will catalog the paper and electronic versions for UCSD. SCU catalogers may also catalog the electronic versions for UCSD, so it is important to always search InnoPac by author or title and see what has already been done. Below are the procedures for CCS catalogers.
  1. If there is an 856 field already on the copy, go to Roger Web, call up your record, and click on the link. Verify that the link works. Verify that the web site is the correct one for your book. Note the title of the conference proceedings as given on the web site. If the title is different than 245 and 246 fields on your bib record, copy the title and insert it in both the 530 and 740 fields (see examples below in step 5). If the SCU cataloger has already worked on the record, the 040 field will have "|dE9X" and the record will have a 530 and 856 field. In this case, check InnoPac to make sure you are not creating a duplicate record. If you find a duplicate, stop cataloging and bounce to the Section Head.

  3. If there is no 856 on the copy, go to the IEEE Xplore web site:

    Enter the name of your conference in the search box. You may have to try variations of the conference name, as conferences on this site are often entered under the first significant word in the conference name (e.g. skip words like "international" "conference," etc.) You will need to scroll down the list retrieved and find your entry and click on it.
     

  5. Once you retrieve your conference, verify that the web site is the correct one for your book. Note the title of the conference proceedings as given on the web site. If the title is different than 245 and 246 fields on your bib record, copy the title and insert it in both the 530 and 740 fields (see examples below in step 5).

  7. Go to the top of the window, to the Netsite location box and click on the URL. This will cause the entire URL to be highlighted. Press <ctrl>c to copy the URL.

  9. Go to InnoPac and do all your normal checking, editing, authority work, call number work, and add your autostat and cat date as usual. In addition, edit the bib record as follows:

    1. Change the branch to multi. Hit <enter> when "se" displays, then enter "net" for the 2nd branch. Hit <enter> twice.
    2. Add the 007 field, using the macro (see TPOT to get the macro: http://tpot.ucsd.edu/Pass/innopacmacros.html)
    3. For conferences, make sure the qualifier in the 111 field contains the AACR2 form of city where the conference was held.
    4. Add a 530 field with text:

    6. For conferences, make sure subject headings have the subdivision "|vCongresses."
    7. Add: 655_7 Online resources.|2local
    8. If the web site title is different from the 245 and 246's, add a 740 0_ with the web title. Include the whole web title, even though it is lengthy and may be grammatically weird. Subsitutue commas for periods as needed.
    9. Add: 856 41 |u (go to the menu bar, select "edit" and "paste" to copy the URL into the 856) |zRestricted to UC campuses

  11. Create a new item record for the electronic version:

    1. From the InnoPac bib record, hit "a" to attach a new record.
    2. Select "i" for item record, then select template "13" for "ielec : disc electronic"
    3. The template will supply item type "43," location "nnet," and status "f". If you don't use this template, remember to add these codes to the item record.
    4. There should be no call number in the item record for the electronic version.
    5. Add an autostat note: cataug01;ed;1;AEV (See Section Head or CCG if you need a macro for this note).

Go to Roger web, call up your record, and test your URL by clicking in the box that says "Available online:" If you are not linked to the correct IEEE Xplore page for your conference, go back to InnoPac and check your 856 field tag, indicators, and subfield codes. Also check your URL for accuracy. Some URLs contain characters that won't work in Roger web. If you check your 856 and everything looks good, but it still doesn't work in Roger web, see Section Head for help.

  15. Print the record, making sure to include the URL. Place the printout in the basket labeled "PURLs to be assigned" which is on top of Becky's filing cabinet.

Once you are on the theme page, select the year of publication under "All titles" on the left side of the screen. You can then scroll down the list to find your book title. This part of your search is only so you can verify that your title is available online. You do not need to copy the URL. Once you verify your title is available, use the pre-assigned PID number for your theme from the list below. Edit the bib record as follows:
