Workflows for Musical Materials Requiring Special Performer or Title Notes

Background: Beginning May 1, 2004 Music & Media catalogers routinely will give notes for up to 15 performers or 15 titles of works on a musical item. At the request of the Music Bibliographer, they will also provide a complete performer or title note for specific items. Also, for specific categories, they will continue to give complete title access without requring input from the bibliographer. The editing guidelines documents will give detailed instructions for when catalogers will give these notes. This document describes the workflow that will be followed by the Music Bibliographer, Acquisitions staff, and Music & Media catalogers.

PRE-CATALOGING

DIRECT ORDERS

Bibliographer will mark order requests with a prominant "P" or "T" next to the item to be ordered, indicating that he would like the catalogers to provide complete performer or title notes on that item.

Ordering will enter order as usual, and then key "add performers" note to the order record if Ken has marked "P" next to the item to order, and key "add titles" if Ken has marked "T."

Ordering will receive items as usual, and add a pink CUL streamer for any items flagged with "P" or "T." He will write: "add performers" or "add titles," based on the note in the order record. (Notifies will continue to be processed as usual, with the rush and notify streamers. There is no need to indicate rush for these items, however, unless Ken indicates so.)

Catalogers will key complete performer or title notes for all sound recordings flagged with a streamer (see below).


GIFTS

Bibliographer will write on pink CUL streamer "add performers" or "add titles" when he would like catalogers to provide special access.

CATALOGING

Catalogers will follow these to determine the kind and number of notes that we will make for contents of a sound recording or for its performers. Requests for exceptions to the guidelines will preferably take the form of a streamer inserted in the item, and will indicate whether notes should be made for all performers, for all pieces of music in a recording, or for both.

CONTENTS NOTES

Generally provide contents notes for up to 15 works or selections on any sound recording. Partial or informal contents notes may be provided when there are more than 15 compositions, based on cataloger judgement. For copy cataloging, don't remove extra titles in the note part of the description if the cataloger has supplied them.

Contents notes for the complete contents of a sound recording will be made in the following situations:

--Post-1950 classical compositions:
[No change from current policy] We will attempt to provide complete contents notes for all post-1950 works present on a sound recording, when practical, and to provide corresponding added entries. On recordings where there is a mix of material, make a full contents note if 15 or fewer compositions, a partial or informal note if more are present; provide added entries for all post-1950 works.

PERFORMER NOTES

Additional notes of performers and performing groups will be made in certain situations. These names may be included in a 505 contents note in relation to specific pieces, or placed in a separate 511 performer note. Generally list all featured performers on a recording when practical. It's generally not necessary to list performers making up a group that is already named. For copy cataloging, don't remove names in notes from a copy cataloging record if the cataloger has provided more detailed description.

--Pre-1950 recordings of any type of music:
List up to 15 featured performers and/or groups. List up to 15 main performers if you have an anthology with various performers.

EXCEPTIONS:
--Make unlimited title (with parenthetical performer) contents notes for compilations of hits by various artists in one of the popular music genres.--Make unlimited conents notes when requested by bibliographer. Consult with bibliographer if you would encounter system limitations.
