PROCEDURE FOR DELETING OCLC SYMBOL FOR SERIALS

The weekly printout of deleted serials records is generated by the DISC
Section after review of the records coded for deletion. It includes all records
coded R CTRL CD "d" which were deleted from the MELVYL PE database and
deleted or suppressed from public view in Innopac. This procedure is carried out
in the Catalog Dept. to ensure accurate representation of our holdings in OCLC.
I. Cross off duplicate records and records without OCLC numbers on list of
deleted records.
II. For all records not crossed off the list, search Innopac by OCLC record
number (search key: o).
A. If no record is retrieved, leave it on the list for further
processing.
B. If a record is retrieved, look at the title and 001 field to
assure that the correct record was retrieved.
1. If the title and 001 do not match your search but the only difference in
the 001 field is the last digit, consider the record "not retrieved"
and leave it on the list for further processing. (Innopac does not include the
last digit in the index so occasionally a different record is retrieved).
2. If the title and 001 match your search, proceed to the
next step.C. Look at the R CTRL CD.
1. If it is coded "d," leave it on the list for further
processing.
2. If it is coded anything other than "d," cross
it off the list.
III. For all records not crossed off
the list, search OCLC by record number (search key: #). Look at the title to
make sure you have retrieved the correct record. Look at the OCLC record number
in the upper left-hand corner of the retrieved record.
A. If the OCLC record number matches the number you keyed, look for the CUS
holdings symbol.
1. If the record says "Holdings in CUS," delete the holdings
symbol by entering "delh" and the send command. Check off the record
as completed.
2. If the record says "No holdings in CUS,"
check off the record as completed.B. If the record number does not match,
look at the 019 field.
1. If neither the record number nor the 019 match the number you keyed,
search again to make sure you did not make a typographical error. If there is
still no match, refer to supervisor.
2. If the 019 matches the number you keyed, copy the OCLC
record number which appears in the upper left-hand corner of the retrieved
record (or make a printout). Search the OCLC record number in Innopac.
a. If the OCLC record number of the retrieved record retrieves
a record in Innopac, check the R CTRL CD.
1. If it is coded anything other than "d," cross it
off the list.
2. If it is coded "d," go back to OCLC and delete the CUS holdings
symbol from OCLC by entering "delh" and the send command. Check it off
as completed.
b. If the record number of the OCLC record does not
retrieve a record in Innopac, go back to OCLC and delete the CUS holdings symbol
by entering "delh" and the send command. Check it off as
completed.IV. Look over the list to make sure that all records
are crossed off or checked as completed. Report to supervisor that the list is
completed.
