Dear OCLC CJK Users,

I am delighted to send you a glimpse of WorldCat CJK cataloging activities as of 2007 January 31 (10:00-10:15 A.M. EST). WorldCat is a dynamic database and expanding rapidly every 10 seconds by the contribution of worldwide users.

Total number of records with CJK scripts: 3,140,837
(CJK scripts are entered not only in records for CJK materials but also in other multilingual materials.)

Total number of Chinese language records: 1,867,844
Total number of Chinese language records with CJK scripts: 1,510,928

Total number of Japanese language records: 1,665,124
Total number of Japanese language records with CJK scripts: 1,418,676

Total number of Korean language records: 268,407
Total number of Korean language records with CJK scripts: 212,651
(Language code index covers the fixed field “Lang:” and 041 subfield a, b, d, e, f, and g.)

With this OCLC-CJK list posting, I would like to distribute the updated WINE Record Editing Guide: 2007 edition, as a practical check-list.

Background Information -- for new OCLC CJK users

What is WINE record? WINE stands for Waseda University Information Network. In early 1990’s, Waseda University Library and Kinokuniya Company in Japan, and OCLC signed the agreement to batchload WINE Japanese bibliographic records into OCLC OLUC (Online Union Catalog) in phased operations with the technical assistance of Kinokuniya. WINE records were originally created using the Japan MARC format based on Japan cataloging rules. OCLC and Kinokuniya technical teams worked on the conversion of WINE MARC into US MARC-compatible records. The first batch load of converted 282,980 records completed in December 1995, and the OCLC institution symbol “LWU” was assigned to the 040 field of WINE records in the OCLC Cataloging system.

After three major batchloads completed by March 2004, and with on-going WINE records file transfer to OCLC WorldCat to date, OCLC is storing 750,016 LWU contributed WINE records for OCLC global users today.

Why WINE Record Editing Guide? The conversion of WINE records from Japan MARC to OCLC MARC format (based on MARC 21) was executed by the software program. It aimed to make Waseda bibliographic data available and suitable not only for cataloging but also reference use by OCLC global users via OCLC worldwide network. The Waseda Library administrators agreed that the contributed WINE records would be modified, enriched and replaced by catalogers and technical processing library staff members around the world. The final human editing is critical to make machine-converted WINE records most useful and beneficial for the global application.

We hope the WINE Record Editing Guide 2007 edition is useful reflecting the current OCLC Cataloging system environment and OCLC non-Latin script support features and functionality. With the Waseda University Library’s recent action to load bibliographic records of its rare book collections, WorldCat covers Japanese imprints and resources more extensively and richly for OCLC users via global access.

WINE Record Editing Guide: 2007 edition

(WINE records are coded “M” in the fixed field Encoding level in the IBSD framework)

1) Verify and adjust the choice of the main entry, if necessary. (1xx) 
All WINE records are cataloged with a title as main entry based on the Japan MARC/UNIMARC bibliographic record structure.

2) Add the following data to the WINE record.

    a. LC-type and/or DDC call number
    b. LC subject heading(s)
    c. 300 subfield b, by transforming notes on illustrative matters, if any, from 500 field(s)

3) Verify and adjust the numbering value and/or the statement in subfield n, p, and/or v of the applicable title field(s). The converted data in arabic numerals in the WINE record may be a substitute to the actual script data on the cataloged item.

4) Verify and adjust the word division in the romanized field, if necessary. Apply ALA/LC romanization, word division, and capitalization rules for Japanese at http://www.loc.gov/catdir/cpso/romanization/japanese.pdf

(For example, 260 subfield b, as the converted WINE record contains the machine-generated-romanization of the original script text of the publisher information)

5) Verify and adjust the tag(s), the indicator(s), and the form of heading(s), if necessary. (1xx, 4xx, 6xx, 7xx, and 8xx)  Japan MARC format does not use the indicators at all. Control the headings as fully as you can by applying client control headings function under Edit menu.

6) WINE records provide the linked scripts and romanized bibliographic information for most of data fields where the linkage is supported. If the romanized field is essential in your ILS (integrated local system), supply the linked romanized field as needed. See 8)-d) for the modification hint for WINE records.

OCLC public-open Web program http://worldcat.org allows any Internet access users to see full non-Latin script records in WorldCat.

7) Retain the Japan MARC related data fields in WINE records.

    a) 016 (National Diet Library control number; switched from 035 to 016 field after the 2001 OCLC MARC Update)
    b) 084 with $2 (Nihon Jisshin Bunruiho = Nippon Decimal Classification)
    c) 653 (Japan MARC subject headings) field(s).
    d) 886 (Japan MARC classification data) field(s).

The data in these fields are quite useful for researchers to perform Japanese Web OPAC cross-file searching. 
In case, your ILS does not need to keep those fields, you can opt them out at the time of client Export action by pre-setting: check Options > Options > Export >Field Export Options.

Warning: With client 1.70, the romanized field only is deleted when opting out the linked fields. The future client version will address this flaw. 

8) Pay attentions to the following miscellaneous editing points:

    a) Verify and adjust “kansh-o” to the title in 245 field, if necessary, and use 246 field to add an extra access point.
    b) Add Japanese dating scheme “Showa”, “Heisei”, etc. if applicable, as WINE records used the Western calendar date only.
    c) WINE record is created for every single physical unit even for a multiple-volume set publication. Users may create a set record, if no matching record is found in WorldCat.
    d) You may change the standardized notes into the “English-version” which could be understood easily by global users.

9) Remove the “jpn” in the 040 subfield $b and upgrade “M” to “I” encoding level as you have enhanced the WINE record to be a full-level OCLC MARC 21-compatible record for OCLC global users. The use of “jpn” in WINE records was the result of machine-conversion programming many years before OCLC “Parallel Record” decision was issued.

10) If your final validation before Replace action has failed due to invalid CJK character(s) in the WINE records, apply “Convert to MARC-8 CJK” under Edit menu in client 1.70 platform.

Dear OCLC-CJK Users,

One of CJK users kindly hinted me some follow-up notes would be helpful for WINE Record Editing Guide: 2007 edition, distributed via OCLC CJK list on January 31.

There was a section in the Guide:

Since November 2006, OCLC Enrichment Program added a new policy that OCLC users with the full-mode access authorization are allowed to add and/or change non-Latin script data to the member-input records in all formats except CONSER and records attached with the national-level authentication code in the 042 field. OCLC hopes this provision will enhance users’ cataloging productivity in their workflow.

Some of you may have experienced the situation not being able to replace records in format such as visual materials, sound recordings, maps, etc. Please check “Massage of the Day” under client View menu. The first message line indicates what access mode you have used.

If it tells you are using Enhance mode, it is most likely you are holding Regular Enhance for Books only. There is no longer the on-site mode down-grading feature in the client program. To switch from Enhance to Full mode, your profile information needs to be revised. Please fill in “OCLC Access & Authorization” form at ,https://www3.oclc.org/app/sysacc/header.pl, and send it to OCLC.
