BACKGROUND

    In June 1992, the Catalog Department began experimenting with generating workload statistics "automatically" from coded information added to InnoPac item record notes.  This procedure and programming were adapted from an Acquisitions Dept. process which was developed in 1990.   In the fall of 1992, the Catalog Department officially adopted the procedure, which has become known as "autostats."  In September 1995, the department began testing a new method of coding, compiling, and reporting autostats which was officially adopted in January 1996.  On October 1, 1996, several new autostats codes were added to enable the Department to more accurately measure workload.  In October 1997, revised procedures were issued that incorporated small changes from the previous year.

    In October 1998, Section Heads approved a plan to revise autostats coding to make it more efficient for catalogers to code for multiple tasks, and to make it easier for the autostats compiler to identify stats for each department.

1. PROCEDURES FOR CODING AUTOSTATS ITEM NOTES
 

How to Create an Autostats Note

Autostats notes are used by the Metadata Services Dept. (MSD) and the Mandeville Special Collections Library (MSCL).

The autostat note is composed of a prefix that indicates department ("cat" for MSD and "mscl" for MSCL), followed by a three letter month code, the last two digits of the year the item is cataloged, cataloger's initials, the number of titles to be credited (usually just "1"), and codes for the type of copy or material being processed.  The program is not case-sensitive, so all caps, all lower case, or a mix is acceptable.  Semi-colons are used to separate the various elements.

The "1" indicates one title cataloged.  For bound-withs, indicate the number of titles cataloged and linked to the single item record:

Separate item notes are required for each task performed (SA, IP, ENH, etc.):

Autostats notes may be created upon export from OCLC to MilCat by inserting a subfield "n" into the 949 field that creates the item record:

OCLC Connexion Client users may have this coded into a customized macro.  Ryan Finnerty, Jim Soe Nyun, and Aaron Olsen have developed customized macros for various units.

Existing MilCat item records, from the copy cataloging workflow, for example, may be coded for autostats by adding a non-MARC note directly in MilCat, using MacroExpress macros. MacroExpress macros were designed for MilCat autostats notes because MilCat macros do not have all the functionality required to accurately create autostats notes.

7. GUIDELINES FOR ASSIGNING NEW CATALOGER'S INITIALS OR AUTOSTATS CODES

a)  Notify Shirley Higgins BEFORE a new cataloger starts to code autostats.  Supply the cataloger's name, autostats initials, and section name.   When selecting initials for a new cataloger, avoid using any initials or codes which appear on the lists under sections 2-5 above (month codes, cataloging codes, and catalogers' initials).

b)  Notify Shirley Higgins when you wish to add a new code to the cataloging codes.  Supply the code, a brief explanation of the usage, and indicate whether the count should be counted as copy cataloging, original cataloging, or workload count (not included in UC stats).   When selecting the cataloging code, avoid using any initials or codes which appear on the lists under sections 2-5 above (month codes, cataloging codes, and catalogers' initials).
 
 

FINAL NOTE:
The accuracy of autostats coding is absolutely necessary to create an accurate count for each individual as well as for the deparmental reports.  If you believe that an error has occurred with your autostats, please report it to Shirley Higgins and/or your supervisor as soon as possible.  Simply correcting autostats coding in the item record will not change the counts once the monthly Boolean search for autostats has been performed--so please report errors or problems rather than try to correct them yourself.  Most errors may be corrected or compensated for if they are reported.
