Metadata Services Department
Division Heads Group
CHARGE
The Division Heads Group is advisory to the Head of the Metadata Services Department. It exists to provide a formal channel for achieving focused input, nimbleness, responsiveness, efficiency, consistency, and appropriate resource deployment in conducting department business. It is charged by the Department Head to:
- Advise the Department Head in setting priorities for resource management
- Monitor and prioritize department staffing needs
- Assess and monitor workloads
- Develop plans to meet staffing needs
- Develop and monitor departmental goals and objectives
- Formulate long term, multi-faceted strategies to manage workloads and implement vision
- Advise the Department Head on all policies affecting the department
- Advise on process planning (e.g., budget, space, and new initiatives)
- Plan and coordinate initiatives that cut across divisions
- Provide advice and support for handling performance issues
- Act as a sounding board for each member of the group to test ideas and assumptions
MEMBERSHIP
The Division Heads Group consists of the
- Department Head
- Assistant Department Head
- Heads of each of the divisions within the Metadata Services Department.
PROCESS
Appointment to this group is an assignment based on job responsibility, thus there is no end date or rotating schedule for appointment to this group.
The Group will meet twice a month, alternating with the Unit Heads Group.
Agenda will be set through submission of topics by members, and will be distributed to the Unit Heads Group.
Action items and decisions will be regularly reported at the Unit Heads meeting.
GROUNDRULES AND BEHAVIORS
- Agendas will be sent out 24 hours before the meeting
- Meetings will start and end on time
- Confidentiality will be maintained when requested
- Atmosphere of the meeting will allow participants to feel open to contribute views and opinions and have others listen thoughtfully
- Each meeting will end with a summary of decisions and action items for future reporting
RESPONSIBILITIES
The Chair will:
- Call and conduct meetings
- Develop agenda with input from members
- Form and monitor task groups
- Report on action items and decisions at Unit Heads Group meeting
The Members will:
- Represent the interests and needs of their areas and report back to them as appropriate
- Identify problems or issues for discussion
- Inform the group of activities and projects within their areas
- Contribute to discussions and accept assignments
