Composite record cataloging, or the single record approach, is the adaptation of a single catalog record to incorporate multiple formats. This document, organized in MARC field order, details UCSD's composite record technique and CONSER enhance practice for print and remote access electronic serials only. For information about composite records for other serial formats, see UCSD's official policy for Combining Multiple Formats of Textual Materials on a Single Record.
In summary:
Local UCSD practice:
- Use the print record whenever available
- Add 007, 530 (when necessary), 740, 776, 793, and 856 fields to the local record
- Preserve local information (e.g., MeSH headings in the bib record) when overlaying
NOTE: The following fields are protected from overlay: 035, 099, 510, 590, 690, 793, 856, 910, 920, 970, and 971CONSER enhance practice:
- Enhance the CONSER record with 740, 776, and 856 fields, as appropriate
- Do not update our holdings (CUS) in OCLC if print version is not owned by UCSD
UCSD's multiple formats cataloging policy for serials allows for expressions of the same work to be cataloged using a single record. Catalogers should base the record on the original manifestation whether or not we own it. For electronic serials, the original manifestation will almost always be print. Add information about the remote access (electronic) version to the print record.

CONSER enhance practice: Separate records for the print and electronic versions can coexist on OCLC.
Occasionally a bibliographer will want a printout
of a Web site to be cataloged. Catalog the Web site as a computer file and then
add a 590 local note to reflect this fact.
Catalog electronic serial supplements as mandated by CONSER. Follow the guidelines outlined in CCM 17.4. Serial supplements. [NOTE: UCSD catalogers should follow CCM 17.4 for cataloging prospective titles but retrospective titles will be evaluated on a case-by-case basis. SCP catalogers should follow CCM 17.4.]
There are 4 possible scenarios for electronic supplements:
1. The electronic supplement is not cataloged separately, and the content lives on the same Web site as the main work (parent journal).

022 field (ISSN): Do not add an e-ISSN to the 022 field. Do not add a qualifier after the existing ISSN or delete any e-ISSNs that may be present. If an electronic ISSN (e-ISSN) has been assigned to the electronic version, add it to the 776 $x for the electronic version.
CONSER enhance practice: Same, except: 1) For U.S. or Canadian titles, only add the e-ISSN to 776 $x if it has been authenticated by NSDP or ISSN Canada.* 2) For foreign titles, add the e-ISSN to 776 $x when it is available either in the related record or the ISSN Register.

050/090 fields (Library of Congress Call Number/Locally Assigned LC-type Call Number): All records* should have a LC classification or call number (050 or 090). Add a LC classification number if lacking (use 050 14 $a). Do not cutter. For newspapers, use classification number "AN."
*LC classification or call numbers are not required for local, state, and federal government documents, however, do not delete if present. For exceptions, see table below:

CONSER enhance practice: As CONSER members, UCSD catalogers should assign LC classification or call numbers using 050 14. [NOTE: This applies to serials that are "not in LC" (i.e., serials that began publication 1981 or later, and there is no LC-authenticated record in OCLC)]. Do not cutter. LC classification or call numbers are not required for local, state, and federal government documents, however, do not delete if present.
086 field (Government Document Classification Number): All state and federal government document records should have a 086 call number. If missing, add if available.
CONSER enhance practice: Add 086 call numbers to state and federal government document records when available.
530 field (Additional Physical Form Available): Use 776 $i [physical format] per the CONSER standard record cataloging guidelines whenever possible. If a 776 field cannot be created, use 530.

6XX _0 field (LCSH): With the exception of some newspapers and general subject journals, all records should have at least one LCSH. Add if missing.

650 _2 field (MeSH): Add at least one MeSH heading for all BML and MCL journals, and for ejournals that have the primary level Sage heading: Biology and medicine.
CONSER enhance practice: Not applicable.
690 field (Sage subject headings--applies only to local records): In 1997, UCSD bibliographers created a list of local subject headings (Sage subject headings) to be used exclusively for ejournals. See the Sage subject list for the authorized list of headings. The Sage subject headings, which are entered in 690 fields, serve two purposes: 1) Electronic journal records with 690 fields are automatically loaded from Roger into Sage, the UCSD bibliographers' database of recommended Web sites; and, 2) Electronic journals in Sage are organized in the E-Journals subjects A-Z list by the subjects contained in the 690 fields.
Assign 690 Sage subject headings for all electronic journals (including government documents), except EIU and SourceOECD online journals. For electronic newspapers, use: 690 Electronic newspapers. The 690 subject headings follow a hierarchy: one general heading for the broadest areas (Social sciences and humanities, Physical science and engineering, Biology and medicine, and Government resources); one or more headings for the secondary level; and one or more headings for the specific discipline(s) in the tertiary level except when the following secondary headings apply: Gender and women's studies, Philosophy, Religion, and Government resources. If no specific tertiary level heading applies, use: 690 Electronic journals $x Miscellanea. NOTE: Electronic government document serial records may contain the hierarchical ejournal subject headings in addition to the primary/secondary level Government resources headings when we have licensed access.

740 field (Added Entry--Uncontrolled Related Title): Variant online titles should be traced in the 740 field instead of the 246 field. Use the first indicator to indicate the number of non-filing characters. The second indicator is blank. Added title entries do not need justification per the CONSER standard record cataloging guidelines.

776 field (Additional Physical Form Linking Entry): Add as appropriate. Do not add a 776 field if $t (title) is the only piece of information to be linked. Use $i to describe the physical format being linked per the CONSER standard record cataloging guidelines.

793 field (Local Added Entry--Uniform Title): Add a 793 field for every electronic access point on a record (i.e., there should be at least one 793 field for every 856 field in a record). The 793 field can consist of up to 3 subfields: $a (package name), $p (subpackage name, if applicable) and $g (subscription status). For a list of authorized title entries (793 $a, $p), consult the UCSD or CDL eresources tracking pages. For detailed instructions on how to set up 793 $a, refer to Guidelines for setting up 793 $a for electronic resources or how to code the 793 $g, refer to Using 793 $g to Code Status of Access to E-Serial Content, and its Supplement.

856 field (Electronic Location and Access): The 856 field consists of 3 subfields: $3 (coverage), $z (public note), and $u (electronic resource location). For composite records, use first indicator "4" (this indicates that the access method is http) and second indicator "1" (this indicates that the URL is for an electronic version of the entity being described in the record). The 856 field for composite records should be constructed as follows:
856 41 $3 [Coverage info] $z [Publisher package name. Public note] $u [PID, BibPURL, GPO PURL, or other approved persistent URL. Reminder: Always consult the UCSD or CDL eresources tracking pages when constructing $z and $u]
$3 : The coverage/holdings information in the 856 $3 should reflect the numerical designations of the title being cataloged (i.e., coverage in the 856 $3 should parallel 362 field). Record the coverage information using the NISO level 3 (modified level 4 detailed) holdings standard. In modified level 4 detailed holdings, the whole volume and year is recorded when coverage begins with issue 1 of that volume [e.g., v.1:no1.(2005:Jan.) is recorded as v.1(2005)] or ends with the last issue of the ending coverage [e.g., v.12:no.12 (2005:Dec.) is a complete volume, therefore, record as v.12(2005)]. "Detailed holdings" [i.e., volume:issue number(year:month)] are recorded when the beginning volume does not begin with issue 1 or when the ending volume is incomplete. Use "Selected full text for ..." in $3 when SFX target indicates (no bibliographer exceptions, per SCPU meeting 03/07/08). Do not record gaps in coverage.

936 (OCLC/CONSER Miscellaneous Data--Use to enter OCLC control numbers for parallel records): If a 936 field for parallel records already exists in the OCLC record, accept it as is. Otherwise, adding this field is optional. Enter the OCLC control numbers for parallel records in the 936 field. The 1st and 2nd indicators are blank. Prefix the first OCLC number with PR + space with additional numbers separated by a space.

CONSER enhance practice: In the interest of cooperative cataloging, supplying this field is strongly recommended, but optional.
When the branch code is "multi", "net" should be ordered alphabetically with SRLF as the last location. Use "net" by itself if the print version is not held by UCSD.
Add nnet or nnetd checkin and item records for all electronic journals. The nnet and nnetd item records should be ordered in the first position.
