OVERVIEW

EXCEPTION: DO NOT MAKE SPECIAL COLLECTIONS MONOGRAPH RECORDS COMPOSITE.

Composite record cataloging, or the single record approach, is the adaptation of a single catalog record to incorporate multiple formats. This document, organized in MARC field order, details UCSD's composite record technique for print and remote access electronic monographs only. For information about composite records for serials, see UCSD's official procedure for " Composite record cataloging (cataloging remote access electronic serials using the print record version)".

In summary:

Local UCSD practice :

Use the print record whenever available

Add 007, 530, 740, 856 fields to the local record

Preserve local information (e.g., MeSH headings or 655 Property data) when overlaying

NOTE : The following fields are protected from overlay: 035, 099, 242, 510, 590, 690, 793, 856, 910, 920, 956, 970, 971

Enhance practice :

Enhance the print record with 530, 740, and 856 fields, as appropriate. UCSD is not a BIBCO institution, therefore UCSD catalogers cannot enhance DLC|DLC records.

Do not update our holdings (CUS) in OCLC if print version is not owned by UCSD.

MULTIPLE FORMATS for monographs

UCSD's multiple formats cataloging policy for monographs allows for manifestations of the same expression to be cataloged using a single record. Catalogers should base the record on the original manifestation whether or not we own it. For electronic monographs, the original manifestation will almost always be print. As a result, you will almost always add information about the remote access (electronic) version to the print record.

NOTE : If the electronic monograph is cataloged using the electronic record and the print monograph is acquired later, catalogers should use existing print copy or create an original print record, make the print record composite with the electronic information, and remove the electronic record from the catalog.

When cataloging the electronic version, if your original manifestation is :

OCLC copy for the original manifestation available online

No OCLC copy for original manifestation, original manifestation in hand

No OCLC copy for original manifestation, no original manifestation in hand

OCLC copy for original manifestation available later

Electronic (i.e., born-digital monographs

Use the separate record for the electronic version.

Create an original record for the electronic version.

Other (e.g., print, microform, CD-ROM, etc.)

Use the record for the format of the original manifestation and add the information for the electronic information to it. Remove the $h GMD if it is not applicable to all formats represented on the record (e.g., $h [microform])

Create an original record for the original manifestation and add the information for the electronic version to it.

Use the separate record for the electronic version if available, or create an original record for the electronic version.

Overlay existing record in Roger with the new record for the original manifestation and add the information for the electronic to it.

NOTE : Separate records for the print and electronic versions can coexist on OCLC.

FIXED FIELDS

Leader/Directory/008 : Leave as is.

007 field (Physical description fixed field) :

Other formats (maps, CD-ROMs, etc.) may have additional 007s as required by applicable cataloging guidelines for those formats.

To reflect the electronic aspect, add one of the following to the local record:

If the monograph is known to be in color, use: 007__ c $b r $d c $e n $f u

If the monograph is not known to be in color, use: 007__ c $b r $d u $e n $f u

NOTE : Since we do not check whether a resource has sound, we code the $f value as "u" (unknown).

Enhance practice : Do not add 007.

035 (System Control Number)

In general, ignore any 035s in the record. However, OCLC numbers are now showing up in the 035 field. If a record is exported more than once, there may be duplicate 035s with the OCLC number in the record. Please delete the duplicate OCLC 035.

Enhance practice : Do not add 035.

050/090 fields (Library of Congress Call Number/Locally Assigned LC-type Call Number) : All records* should have a LC classification or call number (050 or 090). Add a LC classification number if lacking (use 050 14 $a). Do not cutter. Serial analytics (this includes working papers) use the 050 or 090 from the serial plus the volume designation.

Enhance practice : UCSD catalogers should assign LC classification or call numbers using 050 14. Do not cutter. LC classification or call numbers are not required for local, state, and federal government documents ; however , do not delete if present.

086 field (Government Document Classification Number) : All state and federal government document records should have a 086 call number. If missing, add if available.

Enhance practice : Add official 086 call numbers to state and federal government document records when available.

099 field (Local free-text call number) : Local government documents, such as San Diego documents (and other cities in San Diego County ) require a locally assigned number in the 099 field. There are also locally created series that use locally assigned call numbers so that the pieces sit together on the shelf. Please put 099 in both the bibliographic and item records.

530 field (Additional Physical Form Available) : Add the 530 field to all composite print records to indicate that an electronic version is available.

If a 530 field already exists in the record, edit it to include the availability of the electronic version. Delete any resource specific information and be as generic as possible.

530 Also issued on microfilm from Xerox University Microforms and online from ScienceDirect .

533 field (Reproduction Note) : Accept if type of reproduction (in $a) matches piece in hand. Correct if necessary.

538 field (System Details) : Ignore if present. CJK catalogers input as necessary. Other catalogers use judgment.

539 field (Fixed Length Data Elements of Reproduction Note) : Ignore if present ; do not add.

590 field (Local Note) : Use as appropriate for particular item (e.g., UCSD dissertations).

599 field (applies only to CDL records)

Enhance practice : Do not add. Local field only.

6XX fields : see Editing Guidelines or Inputting Guidelines

740 field (Added entry–Uncontrolled Related Title) : Variant online titles cited in the 530 field should be traced in the 740 field, instead of the 246 field. First indicator should always be 0. Delete initial articles. The second indicator is blank.

Enhance practice : Same.

793 field (Local Added Entry—Uniform Title) : Use when applicable for monographs which are open access, in subscription packages or in local collections. Consult the following instructions:

856 field (Electronic Location and Access) : The 856 field consists of 3 subfields: $3 (detailed information), $z (public note), and $u (electronic resource location). For composite records, use first indicator "4" (this indicates that the access method is http) and second indicator "1" (this indicates that the URL is for an electronic version of the entity being described in the record). The 856 field for composite records should be constructed as follows:

856 41 $3 [as necessary] $z [public note as necessary] $u [PID, BibPURL , GPO PURL, or other approved persistent URL]. Reminder: When necessary, consult the UCSD e-resources tracking page or CDL e-resources tracking page when constructing $z and $u.

$ 3 In most cases this subfield is not used for monographs. The examples below are some cases where it can be used.

$u : URL (as URLs are subject to change without notice, always consult the UCSD or CDL e-resources tracking pages to verify the type of URL to be used and how to construct URLs for each package). In general, URLs should go directly to the monograph title. Open access titles should be assigned bibpurls .

Enhance practice : Do not add institution-specific URLs to the master record. Add generally accessible URLs to the master record.

The order of multiple 856s in a local bibliographic record is as follows:

Open access (free) resources

Federal government documents

BRANCH CODING

No matter which branch has requested the title, if UCSD does not own the print version , the branch code in the bibliographic record is "net" or " netd". This makes it clear that UCSD has only online access to the title.

If UCSD does have the print, the branch code should be "multi" and the "net" or " netd" branch code should be added to the list of branch codes. The order of branch codes is alphabetical and SRLF should always be last.

ITEM RECORDS

Add " nnet"or " nnetd" item records for all electronic monographs.

All relevant fields will be pre-filled. If cataloging a government document, edit the "LOC" field to " nnetd". Then add autostat (s).
