Monographs Accompanied by Materials To Be Shelved Separately

These procedures apply to books which are accompanied by non-book materials which require a separate item record. This includes, but is not limited to, computer discs and disks, sound recordings, slides, and videos. Accompanying materials which can be inserted in the book and shelved with the book (such as transparencies, single maps meant to be used with the book, etc.), do not require a separate item record. The table below contains only the most commonly encountered accompanying material formats. Use this table to edit and code the bib record for the book and accompanying material and to create the item record for the accompanying material. Following the table are more detailed instructions. Links are provided from selected items in the table to the detailed instructions.

NOTE: Discs and disks are the most frequently encountered accompanying materials. Discs are 4 3/4 inch optical devices, and may be either CD-ROMs or DVDs. Disks are 3 1/2 inch (or 5 1/4 inch) magnetic devices, commonly known as floppy diskettes. Consult your Section Head regarding description and coding for other, more unusual, types of accompanying materials (such as kits, smart cards, etc.).

NOTE: Our former practice was to catalog accompanying computer discs and disks which are electronic copies of the book separately, but this practice was discontinued 10/1/00. Now all accompanying computer discs/disks are processed according to these procedures.

If the disc does not have a case, obtain CD case from Music Section. Make 2 photocopies of the disc and cut to fit inside the CD case, front and back. Front = 4 3/4 x 4 3/4 in. Back = 4 3/4 x 5 3/4 in (to cover spine too). 

Use preprinted "MZ" call number label. Obtain labels from the Music Section. Place one label on the upper spine area inside the CD case. Place the 2nd label in the upper left corner of the front, inside the case. Place the 3rd label in the upper left corner of the front, on the outside of the case. 

Mark call no on disc with Sakura IDentipen.

Use 2-up barcodes. Place both running vertically on the upper left of the front (one inside the case and one on the outside of the case).

Each audiocassette accompanying the book must have an individual case. Cases may be obtained from the Music Section. If the audiocassette was stored in a container with a cover or insert that may be cut to fit in a single cassette case, prefer to use this material. If not, photocopy the cassette and cut the photocopy to fit inside the cassette case. 

Use preprinted "MU" call number label. Audiocassette call number prefix does not match item record call number prefix. Audiocassette=MU, item=MUC. Obtain labels from the Music Section. Place one label in the left corner of the spine (opposite the opening) on the outside of the cassette case. Place the 2nd and 3rd labels on either side of the audiocassette.

Label book: Accompanying audiocassette housed in Music Listening Room as MUC <accession no.> 

Use 2-up barcodes. Place one on the cassette running vertically on either side of the sprockets. Try not to cover important information--but this may not always be possible. Do not put barcode on raised portion of cassette or cover sprocket or registration holes. Place the 2nd barcode on the cassette case, on the flat, colored plastic face. 

Give book to EV for labeling. Give cassette to Music Cataloging Section Head to deliver to Music Dept. 

Music Library, AAL, or SSHL

General information

Each branch has different procedures for labeling the monograph and accompanying material, and for where the accompanying material is stored. Generally, however, the accompanying material is stored in a secure location near a service desk. The monograph is generally labeled to show there is an accompanying disc, slide, video, etc. The bib record describes the monograph, and the accompanying material is described in either the subfield |e of the 300 field, or in a 500 field note. There are also notes about the content of the accompanying material, and system requirements, if applicable. If the accompanying material is a computer file on CD-ROM (disc) or floppy diskette (disk), an 007 field is added. If the computer file can stand alone (does not require the book to be used), an 006 field is added so users can limit to this format and retrieve the disc/disk. Occasionally, an accompanying computer file is itself accompanied by a user's guide or manual. In this case, the user's guide is generally stored with the disc/disk, not the book. See "Monographs accompanied by computer discs/disks with guides" at the end of this procedure for details.

Procedure

1. Catalog the monograph according to normal procedures and add the following additional fields and information:

006: Accept 006 fields found on copy. Add an 006 only if the accompanying material is a computer file and it is substantial enough to be used on its own, without the book (this will be rare). In case of doubt about whether to add an 006, do not add.

If adding an 006, code only the file type. For copy catalogers, it's easiest to add the 006 from InnoPac. In regular update mode (not full screen editor), press "i" to insert, then type "y" for MARC field. InnoPac will display "008." Type over to make this 006 and hit "enter." Select "1 Type code" and press "m" for computer file. The system will display a list of fields. Code only field 5, "File Type." Use the following table to determine the code for file type:
 
Codes Description
a numeric data

Files that are mostly numbers or representation by numbers (e.g., student test scores, football team statistics, etc.). The information may be original surveys or information that has been summarized or statistically manipulated.

b computer program

Ordered sets of instructions directing the computer to perform operations and identifying the information and mechanisms required. A program is a series of instructions given to complete a task. Use for micro-computer software. Use also for computer models, which are a characterization in mathematical terms of a process, object, or concept, that enables the manipulation of variables to determine how the process, object, or concept would behave in different situations.

c representational

Files that have pictorial or graphic data. The pictorial and graphic data can be manipulated in conjunction with other types of files to produce graphic patterns, which can be used to interpret and give meaning to the information. 

d document (text)

Files that are mostly alphabetic information (words or sentences) converted into a code that can be processed, sorted, and manipulated by machine, and then retrieved in many optional formats. Use for records containing full text of documents and material intended to constitute a textual document, whether represented as ASCII or image data.

e bibliographic data

Data are bibliographic citations, including library catalogs or citation databases. May be structured or unstructured. 

f font

File contains information for a computer to produce fonts. 

g game

File is for recreational or educational use. Usually text and software, including videogames. 

h sound

File has data encoding computer producible sounds. 

i interactive multimedia

Item supports navigation through and manipulation of many kinds of media (audio, video, etc.) in which the user has an almost conversational interaction with the computer. 

j online system or service

Record is for an online system or service that may contain nonbibliographic information. An online system or service supports system based user interaction. For example, online library systems, FTP sites, electronic bulletin boards, or network information centers. 

m combination of file types

Computer models and numeric data files, or computer programs and text files.

u unknown
z other type of computer file

 

007: Add an 007 only if the accompanying material is a computer file (disc or disk). Code only the first two bytes of the 007, category of material and specific material designation.

category of material = c (computer file) for either disc or disk

specific material designation = j (floppy disks) or o (letter oh, for optical discs)

300: On copy, accept choice of field and format of note for the physical description of accompanying material. If not present on copy, or when inputting original records in OCLC, add the appropriate field as follows:

Discs: 300 ... + |e 1 computer optical disc (4 3/4 in.)

Disks: 300 ... + |e 1 computer disk (3 1/2 in.)

Sometimes it may be more convenient to describe accompanying material in a 500 field note: Includes one Stiquito robot kit.

500: Provide a simply-worded note describing the content of the accompany material, if easily determined from book cover or preliminaries or from the accompanying material itself. If it is concise, quote information on content from the book. If not, paraphrase to make a brief note.

538: If easily ascertainable from the book (intro., preface, appendix, or cover), or the accompanying material label or container, add the System details note in a 538 note. Use wording as found on the disc/disk label or within the text if brief. Paraphrase for the note if the wording found on the pieces is extensive. If unable to readily determine system requirements, simply don't add.

If the accompanying disc/disk is itself accompanied by a user's manual or guide, add a 500 note that describes both:

500 Accompanied by computer disk and user's manual.  
 

2. For BML, CMRR, IR/PS, MCL, S&E, SIO, SSH, and SSH DOCS, the call number for accompanying computer files is the book call number with the addition of a 945 field with |u Disc or Disk, etc. If there are multiple discs (not multiple copies of the same disc), create separate item records and use |d and |e.  Remember to put correct number of discs in 300 field |e.

AAL and Music use accession numbers, rather than LC call numbers, for accompanying computer files.

Enter the accession number in the 099 field: 099 YAE |a 100.

Music uses accession numbers for sound recordings (audiocassette, CD, LP, etc.). Enter the accession number in the 099 field: MU|a100

No 945 fields are required when accession numbers are used, unless there are multiple discs/disks. For multiple discs/disks (not multiple copies of the same disc), create separate item records and add 945 |e 1, etc.  Remember to put correct number of discs in 300 field |e. For multiple copies of discs, use the copy field in the item record fixed field.

3. For SIO computer files and sound recording CD's to be housed in the Music Library, use a Sakura permanent ink "IDenti-pen" to write the call number on accompanying discs and disks.

4. For other than sound recordings, assign a 2-up barcode number to the accompanying material, but do not apply the barcodes to the material. Using removable tape, attach the barcodes to the accompanying material.

5. Place an "Accompanied by..." label in the book, in the bottom center area of the first available page. The labels are pre-printed and available from the DBM Section.

6. Put the accompanying material and its barcodes in a manilla envelope (use a separate envelope for each disc or disk to protect them from scratches). Write the call number for the item on the envelope(s). For books accompanied by discs or disks, band the book and the manilla envelope(s) together and place on EV "computer files" shelf. For books accompanied by other types of materials, place the books and its accompanying material on the EV labeling shelf according to branch.

Monographs accompanied by computer discs/disks with guides

Catalog the monograph and accompanying disc or disk according to the procedures above.

Add 500 field note to bib record:
500 Accompanied by computer disc and user's manual.

Create separate item record for user's manual or guide, etc., and code as follows:
