Procedure for Cataloging Monographs Accompanied by Computer Disks
1. Computer disks which accompany monographs will be housed as
follows:
a) TUL - computer disks will be housed at the Service Desk
in the Current Periodicals, Newspapers, and Microforms
Area; monographs will be housed in the stacks (including
software manuals, etc.)
b) TUL Docs - computer disks will be housed at the Documents
Dept. Reference desk; monographs will be housed in the
Documents Dept. stacks.
c) Undergraduate Library - computer disks will be housed in
the Playback Center; monographs will be housed in the UGL
stacks.
d) S&E - computer disks will be housed at the Circulation
Desk; monographs will be housed in the stacks.
e) S&E Ref - computer disks will be housed at the Reference
Desk with the monographs. (Always check with S&E
Reference librarian before proceeding)
f) CMRR - computer disks will be housed at the Reference
Desk; monographs will be housed in the stacks.
g) IR/PS - computer disks will be housed at the Circulation
Desk; monographs will be housed in the stacks.
2. Catalog monograph according to normal procedures, adding the
appropriate term in subfield $e of 300 field and a system
requirements note in a 500 field (if not already on copy).
System requirements may be found on the disk label or within
the text (usually in the introduction or appendix, though they
may be found anywhere). If no information is available, try
the disk itself or request the information from Systems when
you send it to them for copying. See AACR2 Revised chapter 1,
sec. 1.5E1, chapter 9, and corresponding RI's for guidance.
The OLAC newsletter may also contain useful information.
3. Items without copy or with only variant copy will go first to
the appropriate original cataloger, who will create a
bibliographic record online and put on save. The original
cataloger will then pass everything on to the accompanying
materials cataloger for completion of the cataloging process.
4. Barcode monograph(s). Include 2 barcodes with each computer
disk (do not affix or paper clip to disk or disk container).
Only the copies will require barcodes.
5. Update/export record. Create item records for each
copy/volume of monograph and disk:

record per export procedures for accompanying materials
and read in barcode of disk:

NOTE: Accompanying material (e.g. User guides, etc.) usable
only in conjunction with the disk itself should be housed
in the same location as the disk (except TUL where they always
go to the stacks). Item records should be created for these
materials also.
6. Affix 1" x 3" Avery label to inside front cover of
monograph(s):

7. Prepare 2 call number labels for each disk. The call number
for the computer disk is the monographic call number plus the
term Disk, plus any numbering (Disk 1, Disk 2, etc.). The
Playback Center uses accession numbers for disks (YPD [xxx])
The location (e.g. S&E) precedes the call number on the label
for both master and copy(ies). Labels will be affixed to disks
themselves (not jackets)

8. Prepare a 1" x 3" Avery label for each disk copy giving
bibliographic information (author and title). The label
will be affixed to the disk itself. Prepare a label for the
master as well if it does not contain bibliographic
information.
9. Send disks and accompanying monographs (for all locations
except S&E) to Stella in Systems. Secure labels and barcodes
in disk envelope or attach to envelope with removable tape.
Using a CA 203, request that Systems make copies of the disks,
label the originals with the call number and bibliographic
labels supplied by the cataloger, and return everything else to
the cataloger. Systems retains the masters. The cataloger
affixes labels and barcodes to disk copies.
10. Place monographs on the EV shelves. Disk copies should be
mailed in padded envelopes directly to their destinations.
Original S&E disks with their accompanying monographs should be
placed on the EV shelves with labels and barcodes tucked inside
or affixed with removable tape to disk jackets. Rubberband to
secure but do not use paperclips. Include a CA 203 alerting
them to the presence of the disk(s) and instructing them to
make their own copies, affix labels and barcodes, and retain
the masters.
11. Send copy of edited Innopac record to Jim Jacobs in
Reference.
12. Faulty disks - these should be returned with the book to
Acquisitions. They will request a replacement from the vendor.
If an unusual format is received which can't be copied by
Systems, Systems will notify Bruce who will make the necessary
arrangements or decisions.
