Parallel CJK Language Fields for Sound and Video Materials

The guidelines below outline the actions catalogers and CJK staff will undertake when cataloging material for which parallel CJK fields might be called for in the MARC bibliographic record. The guidelines apply to both original and copy cataloging. They also record the situations when CJK staff would need to verify that the forms and choices for name entries are correct.

Names (1xx, 6xx, 7xx fields): Catalogers will refer to CJK items with name access points when the names are not represented by authority records, or when it is unclear to the cataloger that an authority record is for the same person or body. CJK staff will verify that the name is for the correct person or body, and also make sure that the form of name is correct when there is no authority record. This includes verifying that the order of forename and surname is accurate. In addition, variant forms of name on the item will be noted so that the cataloger can add to the authority record or create one. CJK will provide parallel field with CJK form of names only when the CJK form appears on the item, and the romanized version of the name is identical to the established form, including any diacritics. Use subfield 4 relator codes "prf" or "cnd" after names of performers or conductors.

CJK staff will key name authority records where necessary, and modify existing records to add cross references from form variant name forms.

Titles:

245: This should be in the language(s) of the chief source, even if not in English. When parallel or variant forms of title come from something other than the chief source, place in 246. (For example, the chief source for a CD is the printed "label" on the disc; for any video recording, it would be the actual opening and closing credits.)

246: Record here any parallel titles, distinctive subtitles and distinctive variant titles found on the item, as is done for other materials, including distinctive title information found in locations other than the chief source. Places where variant titles routinely appear are the container, container spine, insert, videocassette label, and videocassette spine, with variants also occasionally occurring on the disposable original packaging that may be included with the item.

When CJK staff provides variant forms of title, it will be the responsibility of the primary cataloger to decide whether it is necessary to create or modify a uniform title authority record.

Publication (260 field) : Generally select the item's predominant language for the language chosen to record the place of publication and publisher. (See AACR2 1.4C1, which directs you to use the use the language or script of the title proper; and also see AACR2 1.0A3 and its LCRI for more complex situations.) If, for a sound recording, a large corporation appears in one language and a smaller label name appears in another language, select the smaller label name (AACR2 6.4D2). Use Chinese or Japanese form of date with equivalent Julian calendar date if it appears only in that form on the item.

Series (4xx fields) : CJK staff will review item for series if no Roman language series appears on it. CJK will provide parallel field if series appears in CJK script. Additionally CJK staff will examine the item for parallel CJK series information and provide the parallel title and parallel field. They will also do any required series authority work, including searching and exporting LCAF series authority records and creating local records when needed.

Notes:

Notes are to be in English. However, provide parallel CJK fields with alternate forms of names and/or titles, or provide only romanizations, as prescribed below.

505: CONTENTS NOTE: For popular music, supply parallel fields containing both CJK and roman-language titles and statements of responsibility. For art music, supply titles in both CJK and roman-language forms; however, omit CJK forms of Western composers' names. Our agreement with the Music Library is that we will supply up to 15 titles for most materials; however, for compilation collections, or at the special request of the bibliographer, we will provide an unlimited number of titles in a contents note. If you have an exceptionally large collection, consult the cataloger or your supervisor to see if the note could be simplified. In punctuating this field, place performer names in parentheses following a title (when not placing performer names in a 511 field); if supplying composer names, place the name after a space-slash-space following the title.

508: CREATION/PRODUCTION CREDITS (e.g., directors, producers, screenwirters). Supply for video recordings in CJK script with romanization only if this information does not appear in a roman script language. As this field is used almost exclusively with moving image materials only, don't add for routine musical production credits.

511: PARTICIPANT/PERFORMER NOTE: Used for musicians and conductors on sound recordings, and casts, narrators, presenters on moving image materials. For recordings and videos of popular music (including jazz), provide in CJK script with parallel roman script language if the information appears together on one of your main information sources. For art music recordings, provide roman script language notes only if the information is available. However, if information appears only in CJK script, transcribe the script and provide parallel romanization. Sometimes the cataloger will place performer information in a contents note instead of creating a separate 511 note; CJK staff will follow the cataloger's pattern. When the names of musical instruments are given in conjunction with a performer's name, CJK staff will use the common English form of the name of the instrument when one exists.

518: DATE/TIME and PLACE of EVENT: Used to record dates and recording details of a sound recording, and for the production dates and original formats for moving image materials. Make English note. If the information is only available in CJK script, romanize personal and corporate names and locations, and translate other information, including dates and details about issuance.
