Spoken Sound Recordings for Playback

I. Copy search - print out closest match and fullest record.
Cassette, compact disc, and phonorecord versions require
separate bibliographic records.
II. Cataloging
A. New inputs
1. Listen to sound recording when doing original
cataloging if necessary for subject analysis.
2. Catalog per AACR2R chapter 6, RI's, MOUG
newsletter, OCLC sound recordings format, and UCSD
spoken sound recording inputting guidelines.
3. Length is not required unless readily available.
Estimate if possible.
4. Subject headings - assign subject headings
liberally. Send Melanesian sound recordings to
Elizabeth Robinson for subject heading assignment.
B. Copy cataloging
1. Compare copy carefully with sound recording and
container. It is not necessary to listen to sound
recording unless there are discrepancies or
insufficient information. Length is not required
unless readily available. Accept length if
indicated on copy.
2. Follow UCSD spoken sound recording editing
guidelines.
3. Evaluate need for subject headings if there are
none. Send all Melanesian videos to Kathy Creely
for evaluation of subject headings.
4. A 910 field with the cataloger's initials is used
for consistency in all sound recording
bibliographic records.
C. Authority work - Perform authority work as required for
all access points.
D. Accession numbers - Check PAC shelflist for next
available number in sequence.

E. Labels and barcodes - Attach post-it, showing accession
number, and 2 barcodes with the backing intact. They
type their own labels. (Exception: we type labels to
link formats and information when there are accompanying
materials in separate location)

III. Miscellaneous policies and procedures
A. Sound recordings which accompany monographs - see
Accompanying Materials Procedure. (Not same thing as
sound recordings with accompanying
materials - H below)
B. Add 667 note to sound recording series authority
records:

C. If more than 1 sound recording per set, use v.1, v.2,
etc. and create individual item records.
D. Spoken sound recordings do not go through EV. Playback
items should be packed in padded envelopes or sturdy
box and mailed to Larry Andrews. Shelve music items
directly in the closed stacks.
E. Spoken sound recordings with accompanying material -
most accompanying items will be housed with the sound
recording. Depending on how substantial the
accompanying item is and whether it can be used
independently, choose from the following:
a. Catalog together using 1 bib record. Mention
the accompanying material in the collation
(|e) or 500 note. Create a separate item
record. No 590 linking note is needed.

b. Catalog separately. Spoken sound recording
goes to Playback with accession number.
Monograph goes to the UGL stacks with a
regular monographic call number. 590 notes
are added to both bib records, referring to
the location of the other item. 1" x 3"
Avery labels containing the same information
are typed. Send label and barcodes with
sound recording directly to Playback. Affix
the linking label and barcode to the
monograph and send to EV after export
(regular monographic workflow)
