Procedure for Cataloging Monographs Accompanied by
Videorecordings
1. Procedures apply to the following accompanying materials:
a) VHS videotape (1/2 in.)
b) Beta videotape (1/2 in.)
c) U-matic videotape (3/4 in.) (aka U-standard)
d) Videodisc (aka laser disc, laser optical disc, CD video,
laser CD; a brand name is LaserVision). If software is
included, this becomes Interactive Multimedia (see
Interactive Multimedia procedure).
2. Videorecordings which accompany monographs will be housed as
follows:
a) TUL - all videorecordings will be housed in the Music
Library; monographs may be housed in the stacks,
Documents Dept., Art & Architecture Library, Music
Library, East Asia Library, or wherever indicated by the
bibliographer.
b) Undergraduate Library - videorecordings will be housed in
the Playback Center; monographs will be housed in the UGL
stacks.
c) S&E - videorecordings will be housed at the Circulation
Desk; monographs will be housed in the stacks.
f) CMRR - no precedent.
g) IR/PS - videorecordings will be housed at the Circulation
Desk; monographs will be housed in the stacks.
3. Call number or accession number for videorecording:
a) TUL - MX (contact Music Library for next available
number in sequence - do not rely on PAC
shelflist)
b) UGL - YPV (videotape) (check PAC shelflist for next
YPL (videodisc) available number in sequence)
c) S&E - YSV (check PAC shelflist for next available number
in sequence)
d) IR/PS - Add term Video to monographic call number (in 949
field of item record for video)
4. Catalog monograph according to normal procedures, adding the
appropriate term in subfield $e of 300 field or adding a 500
note. See AACR2 Revised, chapter 1.5E1, chapter 7, and
corresponding RI's for guidance. The OLAC newsletter question
and answer section may also be helpful. If a separate entry
is warranted for the videorecording, go ahead and catalog the
monograph. Send the videorecording, a printout of the PAC
record for the monograph, and any OCLC copy for the video to
Jim Soe Nyun in the Music Library.
(Check with section head before making this determination).
5. Items without copy will go first to the appropriate original
cataloger, who will create a bibliographic record and put on
save. The original cataloger will then pass everything on to
the accompanying materials catalger for completion of the
cataloging process.
6. Barcode monograph(s). Use removable tape to attach 2 barcodes
to each videorecording.
7. Update/export record. Create item records for each
copy/volume of monograph and videorecording:
a) Item type for all TUL videorecordings is 18.

c) Item record shelving locations for videorecordings are as
follows:

8. Type and affix 1" x 3" Avery label to inside front cover of
monograph(s):
a) TUL Accompanying videorecording housed in the
Music Library as:

b) UGL Accompanying videorecording housed in the
Playback Center as:

9. Type a 1" x 3" Avery label for each videorecording.

c) S&E Accompanying monograph shelved in the S&E

10. Type 2 call number labels for each videorecording. Include
location above call number or accession number. Attach to
video container with removable tape.
11. Place monograph on appropriate EV shelf after completion of
cataloging. Videos do not go through EV. (Check PAC record
yourself to make sure everything exported correctly). Package
video securely in padded envelope or cardboard box and mail to
destination. Be sure to include barcodes, call number labels,
and label referring to accompanying monograph.
12. If you receive videos in the PAL (European) format, return to
Acquisitions. They cannot be played on American equipment.
Acquisitions will return to vendor and request a replacement
in NTSC format.
