       Procedure for Cataloging Monographs Accompanied by 
                       Sound Recordings

1.   Procedures apply to the following accompanying materials:
     a)   Both music and spoken sound recordings.
     b)   Audiocassettes (aka sound cassettes).
     c)   Phonorecords (aka sound discs, records, audiorecords)
     d)   Compact discs (aka CD's, compact audiodiscs, digital
          audiodiscs)

2.   Sound recordings which accompany monographs will be housed as
     follows:

     a)   TUL - all sound recordings will be housed in the Music
          Library; monographs may be housed in the stacks,
          Documents Dept., Art & Architecture Library, Music
          Library, East Asia Library, or wherever indicated by the
          bibliographer.
     b)   Undergraduate Library - sound recordings will be housed
          in the Playback Center; monographs will be housed in the
          UGL stacks.
     c)   S&E - no precedent.
     f)   CMRR - no precedent.
     g)   IR/PS - sound recordings will be housed at the
          Circulation Desk; monographs will be housed in the
          stacks.

3.   Call number or accession number for sound recording:
     
     a) TUL - MU   (phonodisc)
              MUC  (audiocassette)
              MUD  (compact disc)

              Consult Music Library for next available number in
              sequence - Do not rely on PAC shelflist.
     
     b) UGL -  YPP (phonodisc)
               YPA (audiocassette)
               YPC (compact disc)            

               Check PAC shelflist for next available number in
               sequence.

     c) IR/PS - Add term cassette or disc to monographic call
                number (in 949 field of item record for sound
                recording)
               


4.   Catalog monograph according to normal procedures, adding the
     appropriate term in subfield $e of 300 field or adding a 500
     note.  See AACR2 Revised, chapter 1.5E1, chapter 6, and
     corresponding RI's for guidance.  The OLAC newsletter question
     and answer section may also be helpful.  If a separate entry
     is warranted for the sound recording, go ahead and catalog the
     monograph.  Send the sound recording, a printout of the PAC
     record for the monograph, and any OCLC copy for the sound
     recording to Jim Soe Nyun in the Music Library.   (Check with
     section head before making this determination).

5.   Items without copy will go first to the appropriate original
     cataloger, who will create a bibliographic record and put on
     save.  The original cataloger will then pass everything on to
     the accompanying materials catalger for completion of the
     cataloging process.

6.   Barcode monograph(s). Insert 2 barcodes in each cassette
     container or attach to container with removable tape.

7.   Update/export record.  Create item records for each
     copy/volume of monograph and sound recording:
     a)   Item type for all TUL sound recordings: 18.
          Item type for all UGL sound recordings: 22.
          Item type for all IR/PS sound recordings: 19.

     b)   Item record status codes are:
          a)   TUL       o
          b)   UGL       o
          c)   IR/PS     -    

     c)   Item record shelving locations for sound recordings are
          as follows:
          a)   TUL   -   cma
          b)   UGL   -   upp
          c)   IR/PS -   ic
     
8.   Type and affix 1" x 3" Avery label to inside front cover of
     monograph(s):

     a)   TUL       Accompanying sound recording housed in the
                    Music Library as:
                         MUC 287

     b)   UGL       Accompanying sound recording housed in the
                    Playback Center as:
                         YPC 228

                    Circulation Desk as:

9.   Type a 1" x 3" Avery label for each sound recording.  
     
     a)   TUL       Accompanying monograph shelved in [TUL
                    location] as:
                         HD 7771 .R4 1992

     b)   UGL       Accompanying monograph shelved in the UGL
                    stacks as:
                         HD 7771 .R4 1992

     c)   IR/PS     Accompanying monograph shelved in the IR/PS 
                    stacks as:
                         HD 7771 .R4 1992

10.  Type 4 call number labels for each TUL sound recording (or use
     those supplied by the Music Library).  Type 2 call number
     labels for all other branches.  Include location above call
     number or accession number.  Insert in sound recording
     container or attach to container with removable tape.

11.  Place monograph on appropriate EV shelf after completion of
     cataloging.  Sound recordings do not go through EV.  (Check
     PAC record yourself to make sure everything exported
     correctly).  Package sound recordings securely in padded
     envelope or cardboard box and mail to destination.  Be sure to
     include barcodes, call number labels, and label referring to
     accompanying monograph.
