Combining Multiple Formats of Textual Materials on a Single Record
The Official UCSD Libraries' Policy
Created by R. Arvid Nelsen
Approved by the Cataloging Committee, Dec. 13, 2004
The UCSD Libraries use single records for multiple formats of textual materials
- Records for textual materials are not combined with records for audio recordings, video recordings, etc.
- Direct or remote electronic resources that are primarily textual are combined with print resources on the basis of their being primarily textual, although it is recognized that electronic resources may sometimes include supplemental audio or video materials.
- The single record approach applies separately to each type of issuance: monographs, serials, and integrating resources. Each record represents one type of issuance.
- Under special circumstances (e.g. - at bibliographer request), records may contain related resource links to other types of issuance. These related resources are still cataloged on a separate record.
Application of this policy differs between monographs, serials, and integrating resources
- Monographs: manifestations of the same expression are cataloged using a single record.
- Serials: expressions of the same work are cataloged using a single record.
- Integrating resources: manifestations of the same expression are cataloged using a single record.
- For any type of issuance, to be considered the same expression reproductions must be facsimiles, such as page-image reproductions. Electronic texts that are not considered facsimiles of a print original include HTML, TEI, XML and any other electronic text that requires manipulating the content.
- For definitions of terms "work", "expression" and "manifestation", please refer to Functional Requirements for Bibliographic Records: Final Report . München: K.G. Saur, 1998.
The Basis of the Record
- Base the record on the original manifestation whether or not we own it, only in cases when you know what the original manifestation is and a record exists on OCLC or you have enough information to catalog it according to LCRI 1.11a.
- In all other cases use the item in-hand as the basis of the record (i.e. NOT cataloging according to LCRI 1.11a).
This policy applies to all branches of the UCSD Libraries with the exception of the Mandeville Special Collections Library (MSCL).
- MSCL has separate records from materials held by other UCSD Libraries, with the exception of UCSD dissertations and theses and some serial records.
- Those records that MSCL shares with other branches of the UCSD Libraries are subject to this policy.
- MSCL uses separate records for different published manifestations of each type of issuance.
- MSCL uses single records for original and reproductive manifestations created in-house.
