EDITING GUIDELINES FOR OCLC RECORDS: MUSIC SCORES

NOTE: All fields are accepted as is unless indicated below.

Generally, do not modernize description to reflect current rules and rule interpretations. Statements to "correct" a field typically refer to the intellectual content of the field, not the form the information takes. Follow current rules when adding descriptive information.
 

FIXED FIELDS

Tag Definition Treatment
Ctry Country of publication, etc. Correct if necessary, add if not. Use MARC Country of Publication Codes.
Dates Date 1 and Date 2 Correct both dates if present where necessary. Add if dates required and not present. Don't edit to modernize using "u" for a range of dates. See: OCLC Bibliographic Formats and Standards.
DtSt Type of Date / Publication Status Correct if present, add if not. Don't modernize for a range of dates (see Date 1, Date 2, above). See: OCLC Bibliographic Formats and Standards.
ELvl Encoding Level Ignore, unless upgrading record. For upgrades, change ELvl to "I."
FMus Format of Music Correct if present, add if not. Don't use code [blank] ("information not supplied"). See OCLC Bibliographic Formats and Standards.
Form Form of Item Ignore except for microforms and photocopies. Correct if present, add if not. See OCLC Bibliographic Formats and Standards.
Lang Language Code Correct if present, add if not when appropriate. Use MARC Language Codes.

 

VARIABLE-LENGTH FIELDS

Tag Definition Treatment
006 Fixed-Length Data Elements--Additional Material Characteristics Correct or add only when score is accompanied by non-score material which is substantial enough to be considered primary material (could be cataloged as a separate item). Follow the fixed field guidelines for the format appropriate to the accompanying material.

007 Physical Description Fixed Field Correct or add subfields "a" or "b" if necessary for accompanying computer files. Accept existing 007s but do not add 007s for other types of material.
010 LC Control Number Correct if present, add if appropriate.
020 ISBN Correct or add $a and $z if score bears ISBN or for acc. bk cat. as a unit; ignore other subfields.
024 Other Standard Identifier Correct if present, add if record lacks number on item.
028 Publisher's No. Correct or add if appropriate; don't edit just to reorder $a and $b.
041 Language Code Correct if present, add $a and $h if appropriate.
090, 099 Locally Assigned LC-type Call Number, Local free text call number

Generally, add only if needed as part of item record exporting process.

Enrich or enhance OCLC record lacking call number only if already modifying record for other reasons.

100-130 Main entry

Do not change choice of main entry as long as all appropriate access points appear as main and added entries on record. Correct form, if necessary, including capitalization and punctuation, except ignore presence or lack of final punctuation. Delete $e, $4 on 100 and 110 fields (except for Special Collections, who will delete or modify them as needed).

Enhance OCLC record if main entry contains typos affecting access.

240 Uniform title Correct if present, add if appropriate. Delete if uniform title exactly matches $a of 245.
242 Translation of Title by Cataloging Agency Input if supplied and directed by bibliographer.
245 Title statement Correct and/or add titles and subtitles as necessary; correct any typos or subfielding errors; correct or add filing indicators as necessary. Do not add or edit author statement or edit punctuation for style. Add the GMD for micros or electronic resources; if already present without brackets, accept.

If choice of title title proper in OCLC record would result in impaired access, enhance OCLC record to correct form of entry. Add 246s as appropriate for important subtitles, or parallel or alternate titles.

246 Varying form of title

Correct if present; add if needed. Do not convert existing 740 x1s to 246s.

250 Edition Correct typos. Add if necessary.
260 Publication, Distribution, Etc. (Imprint) Do not correct absence or presence of brackets. PLACE ($a): Do not correct absence or presence of larger body qualifier for place; PUBLISHER ($b): Accept form of publisher (s) as on record; do not add distributor if missing on record. If more publishers are listed than required by rules, but are taken from item, leave. DATES ($c): Correct if present, add if not. Check that corresponding fixed field is correct.
300 Physical description Do not modernize or convert to match LC or rules. EXTENT OF ITEM ($a): Correct specific material designation. Don't add preliminary paging if missing. OTHER PHYSICAL DETAILS ($b): If on copy, accept as described. If book has easily ascertainable illustrations not indicated on copy, add. DIMENSIONS ($c): If book and size notation look compatible, accept. Add if missing. Discrepancies more than 3 cm. may indicate variant ed., consult Bibliographic Formats and Standards, Section 4, When to Input a New Record, to determine whether copy can be used. ACCOMPANYING MATERIAL ($e): Add or edit for significant accompanying computer disks, computer optical discs, sound recordings, etc. Edit to the extent that you would for $a and $c.
4XX Series statement Reminder: 400, 410, and 411 are not valid under AACR2R. Change to 490 1 and 8XX.

440 Series Statement / Added Entry–Title If the authority file form of title matches the book and copy but the volume designation does not, edit the form of volume designation to match the authority file form. For enhance, transcribe volume designation as on piece and reformat after update to match UCSD volume designation.
490 Series statement Correct if present, add if not, but do not change 490 1 for style. Do not use 490 0: UCSD policy is to trace all series. For enhance or upgrade, follow LCAF treatment if available, then reformat and edit for UCSD policy.
5XX Notes

Unless specified below, accept order and wording as on record, unless inaccurate or misleading; For AACR 2 records, do not add source for quoted notes if missing on record. Delete other libraries' copy-specific notes, as well as rare books notes, e.g., binding info. Add notes as necessary to justify added entries, including the "Reproduced from holograph" statement. Keep in mind that 505 fields are keyword searchable while field 500 is not. Don't modernize language notes to 546s, but use correct tag if adding.

501 "With" note Add or correct if necessary, only when two or more works issued independently have been subsequently placed together under one cover.
502 Dissertation note Add if necessary. If existing copy is tagged 500 or lacks dissertation note, lock and replace record with correct 502 tag and subfield coding.
504 Bibliography, etc. note Accept as is. Don't add bibliography or index notes if missing from record except for enhance, upgrade and CIP catalogers who will add as appropriate. If existing copy is tagged 500, lock and replace record with correct 504 tag and subfield coding.
505 Formatted contents note

When present, accept as on record and correct typos locally. When absent, add for up to 15 contents items; add for unlimited number of items if instructed by bibliographer.

If cataloging on OCLC or if exported record has severe other problems, lock and replace OCLC record to correct typos as part of enhancement process. Also lock and replace to add contents for multi-volume sets based on volumes in hand. For open sets, accept existing contents and add additional contents based only on volumes in hand. When adding additional contents, follow existing subfield coding.

Don't delete subfielding in formatted contents notes when exported to Innopac.

530 Additional physical form available note Add if additional electronic formats are accessible at UCSD. Also add 856 field if appropriate.
533 Reproduction Note Correct if present. If existing copy is tagged 500, lock and replace record with correct 533 tag and subfield coding.
534 Original Version Bounce to supervisor.
538 System Details Note Add if missing for accompanying computer files, when information is readily available from the piece in hand.
546 Language Note Correct or add if applicable. Accept as is if copy is tagged 500.
590 Local note Add when necessary based on local procedures or to capture important copy-specific information.
600-630

650-651

Accept order of 6XX as on copy. Ignore absence or presence of final punctuation. All headings with 2nd indicator 0 or 4: correct if present, add if needed; ignore any with indicators 1, 3, 5, 6, 7, 8. Delete $4; Delete $e (except for Special Collections, who will delete or modify them as needed). Where appropriate, add 650s for "Music $x Manuscripts $v Facsimiles" and "[Composer] $x Manuscripts $v Facsimiles."

If OCLC record lacks subject headings, enrich or enhance record to provide them. Enhance OCLC record if existing headings are grossly incorrect.

655 Index term--Genre/Form Accept 655s as found on LC copy, except delete copy-specific terms. Delete 655s found on non-LC copy.
700-711, 730 Added entry

Accept order of entries on copy. Ignore absence or presence of final period. Correct if present, add if appropriate. Delete $e (except for Special Collections, who will delete or modify them as needed); delete $4 and $u.

For collections, make added entries for every post-1950 work in the classical tradition. Delete excessive added entries for pre-1950 music if the cataloging institution made more than 5 and the verification work would be excessive.

Make additional added entries for persons on Current and Selected Former UCSD Music Department Faculty list if not already present on bib record.

740 Added entry, title traced differently. Correct form and order if present. Do not move titles to 246s if they properly belong there under current tagging practices. Do not add titles if already in 700 $t. If uncontrolled analytic title(s) missing, add in 740 x2. If any other types of title(s) missing, add in 246. 
776 Additional Physical Form Entry For $c and $w only: Correct if present, add if needed. Accept other subfields as given.
790-793 Local Added Entries:
790 Personal Name
791 Corporate Name
792 Meeting Name
793 Uniform Title
