ANALYZED SERIAL TITLES: FULLY ANALYZED
(Requiring less-than-full cataloging)

(formerly: FULLY ANALYZED SERIALS BOUND SEPARATELY REQUIRING LESS-THAN-FULL CATALOGING)

Background: There are a number of items received at UCSD that are worth keeping but which are not worth the expense of full cataloging. Since it is normally the assignment of separate call numbers and subject headings which route items to the original cataloging work stream, we are proposing to catalog as analyzed serials, numbered series consisting of items for which the majority have less than fifty pages. Each item in these series will have individual analytic records cataloged on OCLC. Existing records on OCLC will be used. If subject headings exist they will be retained but will not be assigned for records lacking them. If there is no existing OCLC record, new records will be input at level K and subject headings will not be added unless readily available.

Reclassification of items previously classed separately may be done on a case-by-case basis. In addition, some individual items in a series may warrant provision of subject headings upon request of the bibliographer.

  1. Identification of titles which may qualify for less-than-full serial analytic treatment
For the CUL processing unit, catalogers and copy searchers should bounce to Becky Culbertson monographic series to be considered for serial analytic treatment. Possible candidates include numbered series that are brief in length, which include the words: (not an exhaustive list)

    Working paper
    Discussion paper
    Research report
    Papers in ...
    Memorandum
    Notes
    Occasional papers
    Studies in ...

NOTE: Also included are the equivalent titles in foreign languages other than Spanish. Treatment for Spanish language working papers will be decided by the Latin American bibliographer and catalogers. At CUL, Becky will check with the bibliographer of all other titles to make sure that classed together treatment is indeed warranted.
  2. Serial bibliographic record.
The designated original cataloger prepares a serial bibliographic record for the series. Information within < > to be supplied. For these serials the following notes are added:

500

Individual volumes have distinctive titles

590

FOR INDIVIDUAL VOLUMES, BROWSE IN THE CATALOG [replace THE CATALOG with ROGER?]UNDER THIS CALL NUMBER OR TITLE

Where some items in the serial have already been handled as SAE's, the following note is added:

590

NOT ALL VOLUMES ARE UNDER THIS CALL NUMBER. FOR INDIVIDUAL VOLUMES, BROWSE IN THE CATALOG [replace THE CATALOG with ROGER?] UNDER THIS TITLE.

  1. Check-in record.
The designated original cataloger prepares a check-in record and checks in all available uncataloged items. If split treatment is retained, the following note is added to the check-in record:

Volumes cataloged before <date> are classified separately.
  2. Base Item record.
The designated original cataloger prepares a base item record for the serial and attaches it to the bib record. The following message note for Access Services is added:

DO NOT USE THIS RECORD FOR CHARGE OUT; USE INDIVIDUAL VOLUME RECORD.

Item messages can be created when exporting on OCLC by using subfield "m" in the 949 field, or added to existing item records by using internal tag "m." There is no MARC tag for the message. When inputting a message on Innopac, simply hit when prompted for a MARC tag.
  3. Series authority record.
An 090 field is added to each authority record containing the local call number of the serial.

            090      HM246|b.R56 v.

For new serials the following field is added:

667      Treat as analyzed serial for <branch code>
667      Catalog issues requiring original inputs at level K.

If split treatment is retained, the following notes are used:

646

s|ditems cataloged before February 1, 1992

646

c|ditems cataloged after January 31, 1992

667

Vols s1-50 treated as SAE for SSH; v.51-    treated as analyzed serial for SSH

667

Catalog issues requiring original inputs at level K.

After creating serial bib record, the check-in record and Authority record, the designated original cataloger will forward the item to the appropriate cataloging team. The Cataloger will follow procedures under 2.1.1. but will not be required to add subject headings to these analytic records.
