UCSD NACO Contribution Procedure

General

Where to submit

Submit NACO contributions via UCSD, except music uniform titles from designated music catalogers; contribute those via the NACO Music Funnel Project.

Types of contributions

New or modified record

A. During review period

In OCLC, create a new record or modify an existing record after locking the master record. When you are ready for the record to be reviewed, save it in the local shared authority save file (P:\MSD\NACO DefaultAuth.auth.db). Add any local information needed (local references, instructions to the reviewer, etc.), using field tag 953 or higher. Use the following in My Status (iii = your initials; rrr = reviewer's initials):

iii = record in your workspace, not yet ready for review

rrr from iii = record from you that is ready for review

iii from rrr = reviewer is sending the record back to you for a question or additional work

iii from rrr done = record as been submitted to OCLC, and has been downloaded into Pactech

The reviewer adds the autostats data and exports the record.

 

B. After review period

In OCLC, create a new record or modify an existing record after locking the master record. Add local information either in OCLC or in Pactech. When you have finished editing the record, submit it to OCLC ("add" new records, "replace" existing records).

Add a 910 field for autostats in the format NACOmmmyy;iii;xxx

where

mmm = 3-character month
yy = two-digit year
iii = your 2- or 3-character initials
xxx = "new" or "rev"
example = NACOsep06;pjw;rev

 

Export the record into Pactech if its heading is used in our bibliographic database, even if there are no cross references. Also export the record if it is for:

any earlier or later name (not just the most recent or next name) of an entity whose heading is used in our bibliographic database; or

a higher-level body (parent or further up) of a corporate body which is used in our bibliographic database.

Generally do not download a record which is otherwise not relevant in our catalog. For example, do not download a personal name record in which you corrected a typo, if its heading is not used in our bibliographic database.

If the authority record needs to be treated in Pactech not as its default (100, 110, 111, 130 = name or uniform title; 150, 151 = subject), ensure that the record is added to the correct authority file in Pactech. For example, if you have created a personal name authority record whose heading you have used only in a bibliographic 600 field, the authority record should only go be added to the subject authority file, not the name authority file. Use either of these methods:

  • download the record normally, duplicate the record into the correct authority file, and delete the record originally downloaded if it is not needed in the default authority file.
  • add the appropriate 949 command (such as 949 _1 *atab=asub;), then download the record.

Send email to the UCSD NACO Coordinator reporting BFM for LC, as instructed in Guidelines for Reporting NACO BFM on the NACO website.

Record to be deleted

Send email to the UCSD NACO Coordinator explaining the need for the deletion.
