Catalog Department Section Goals for 2000


Bibliographic Data Control Specialist

  1. Slides database load:  Troubleshoot potential problems before unsuppressing records.  Continue to assist with cleanup projects and labeling processes.

  2. Assist AAL staff in writing an enhancement request for printing options that will address the printing of the slide labels.

  3. Annex Taskforce:  Continue to work with taskforce to move the 60,000 targeted volumes from the Annex to SRLF.

  4. SRLF processing changes:  Work with UCSD and SRLF staff to establish new processing workflows after implementation of ORION 2.

  5. MELVYL Circulation status problem:  Implement plan to update records in the INNOPAC database so that the circulation status of all UCSD’s records can be displayed on MELVYL.

  6. Beta Testing of new INNOPAC products:  Work with INNOPAC Coordinators to test upon request any new products for Innovative.

  7. Library Inventory:  Continue to work CIT to recommend plan to the Library for a comprehensive inventory of the collections in Geisel Library.

  8. Boolean Training Session:  Plan and Schedule a training/information sharing session for staff that have access to CREATE LISTS and have already received basic training in Boolean searching.

  9. TPOT Documentation:  Continue to review, revise and initiate new TPOT documentation.

  10. INNOPAC Millennium software:  Assist with the implementation and evaluation of the new Millennium software and associated new products such as the Advanced Search Engine.

  11. Work with ICT login group to finish the evaluation of current login groups and make recommendations for future use.

  12. Work with ICT load table group to finish the evaluation of the INNOPAC load tables and make recommendations for removal of extinct tables and change naming convention to relate more closely to their function.  Evaluate the relationship of load tables and default templates.

  13. Review old INNOPAC enhancements and re-send any that have not been acted upon and are still desired.

  14. Work with ICT to establish a process and a written procedure and form for requesting new item types to INNOPAC.

CJK Section

Goal 1: Acquire and make available to users the library materials in the Chinese and the Japanese language in the most timely, accurate and cost-effective manner.

1.1 Process orders from receiving order requests to mailing purchase orders to venders within one week.

1.2 Unpack book shipments within 1 week of receipt.

Goal 2: Catalog current Chinese, Japanese materials in the most timely fashion.

2.1 Copy search new books within 1 week after the books are stamped and tattletaped.

2.2 Exact match LC or member copy: Catalog within 2 weeks.

2.3 Variant LC or member copy: Catalog within 3 weeks.

2.4 Serials: Catalog upon receipt.

2.5 Microfilms: Copy catalog microfilms within 4 weeks.

2.6 IP books: Process within 3 days after copy search.

2.7 Limit number of books at each cataloger's desk area to one bookshelf and one Truck to ensure efficiency of processing.

Goal 3: Reduce CJK backlog.

3.1 Continue to decrease Chinese backlog by incorporate backlog books into daily cataloging workflow. In the beginning of January, we had about 1500 titles of backlog books.

3.2 Continue to decrease Japanese backlog by outsourcing in addition to daily in-house cataloging. We will continue to send OCLC TecPro 960 titles in the coming fiscal year for original cataloging. In the beginning of January, we had about 1400 backlog titles.

Goal 4: Maintain our technical knowledge and enhance our cataloging knowledge in the Following areas: Passport for Windows. CJK Plus 3.01. Innopac. CDL . Windows NT. Netscape. LC Catalogers desktop. LC Classification Plus. Word Perfect. Microsoft Word. Excel. GroupWise. Dreamweaver.

4.1 Attend the job related computer classes in the areas listed above to keep up with the new development.

4.2 Attend Department meetings and Ask CCG sessions to learn Computer related tips and tricks.

4.3 Attend cataloging forum whenever it is offered to learn specific cataloging issues.

4.4 Regularly check TPOT to keep up with updated library policies and cataloging procedures, etc.

4.5 Incorporate uniform titles into Chinese and Japanese cataloging follow the uniform title guidelines.

4.6 Adapt the new "Series not used" to UCSD treatment as "Series added entry" treatment in cataloging Chinese and Japanese books.

4.7 Implement the Chinese pinyin conversion in cataloging Chinese language materials starting October 1, 2000 to comply with the starting day of the Library Congress.

Goal 5: Special projects.

5.1 Finish Japanese re-exporting by adding vernacular fields to Innopac records, That lacks those fields. We have 320 records for monographs, 176 for serials.

5.2 We will attend SEAL Conference in March since it will be held in San Diego this year.


Database Management Section

Catalog Department Mission: To provide timely and effective access to information resources selected for our collections, whether held in our buildings or accessed remotely.

We will continue to strive to increase efficiency in our daily operations:

4. Keep current with added volume and added copy workflow.

5. Process monographic batch deletion files from Systems within 1 month of receipt.

6. Stay current with CDL monographic rejects.

7. Stay current with corrections and questions from public services staff, and give them answers in a timely manner.

8. Continue to test our use of the Automatic Authorities Processing software.

9. Revisit SRLF processing procedures with the introduction of UCLA's new ILS.


We will work on the following project goals that will further effective access to our collections:

1. On-the-fly cleanup (ongoing)

2. Serials Analytic Project (generated by Shelflist Inventory; @8000 individual titles to go)

3. UGL Transfer/Withdrawal Project (@20,000 volumes by June 30, 2000)

4. Work on |z project as appropriate.

5. Annex Transfer Project (20,000+ monographs to withdraw, transfer or send to SRLF)

6. Biomed Shelfreading Project (@800 titles to investigate)


7. Biomed Holdings verification/deletion project (estimate at least 4,000 titles)


8. Geographic flips for MeSH---headings are changing from 650's with |z to 651's; this is an ongoing process.

9. Deletion of certain modifiers before period subdivisions in order to bring headings displays to the public in the online environment into better compliance with LC's filing rules. These changes will be implemented as we receive updates from LC.

10. Participate in SSHL inventory project if approved.

11. Investigate manual and automated options for updating the 7000+ MeSH authority records on InnoPac.

12. Ongoing SIO withdrawals and transfers.

13. Work on SNU conversion as appropriate.


We will also pursue the following goals to improve the DBM Section:

1. Continue to revise procedures and ready them for implementation onto TPOT.

2. Publish the DBM Section's web page.

3. Continue to take advantage of training to gain knowledge and skills that will enhance our work efforts.


Digital Information and Serials Cataloging Section

ONGOING RESPONSIBILITIES

We successfully kept up with these responsibilities in 1999 and will continue in
2000:

1. Stay current with cataloging of new print serials & CDROMs
2. Stay current with cataloging of electronic resources received on subscription
or requested by selectors
3. Stay current with requests for serial withdrawals, transfers, corrections,
and recataloging
4. Keep up with incoming treatment questions from monographic catalogers and
acquisitions staff
5. Catalog selected serial and digital maps (including maps series)
6. Keep up with SIO archives cataloging
7. Keep up with batch deletion verification & processing
8. Keep up with CDL serials rejects
9. Keep up with working paper serials (print & electronic), authority, and
constant data records
10. Keep TPOT documents for series, serials and electronic resource cataloging
up-to-date.
11. Regularly attend CCG and other relevant training opportunities

2000 MAJOR GOALS:

1. Implement Serials Millennium, including learning and implementing MARC21 for
Holdings Data.
2. Prepare and distribute Shared Cataloging Records for CDL subscription titles
to CPD and 8 UC campuses.
3. Train Kathy in all DISC Section policies, procedures, and systems and NACO
librarian responsibilities.
4. Provide training to monographic catalogers on processing electronic
resources
5. Provide national leadership in serials and electronic cataloging (e.g.,
NASIG workshop, AACR revision, ALA metadata program)

1. Convert computer file records to appropriate mat type and workform and clean

MC2 Section

  1. For incoming work, maintain priorities and thruput times as stated in the MC2 Section performance standards.

  2. MC2 Section members will review backlog and problem books quarterly and determine the most effective way to process these materials, so that we build no permanent backlogs.

  3. Respond promptly to user requests such as identified problems, added access training, patron requests, and bibliographer requests. Follow through to completion.

  4. Train Maria to catalog books.

  5. Train Maria to process patron requests.

  6. Train Bettie to catalog books accompanied by music.

  7. Train Maria and Bettie to catalog videocassettes.

  8. Create a MC2 section page for TPOT that includes roles and responsibilities of section members, section-specific procedures, tools used by the section, etc. Roz and Shirley will take lead responsibility.

  9. Work with the DISC Section to implement procedures for adding 856 fields for Web links for selected bib records.

  10. Work with the Acquisitions Dept. to improve the monographs workflow, insuring a steady flow of books with accurate and appropriate stamps, flags, barcodes, and records.

  11. Utilize advances in hardware, software, and systems as they become available and useful to MC2 cataloging. Specifically, develop and/or maintain a current awareness of Roger Web, CDL, Circuit, InnoPac Release 2000, Advanced Searching, OCLC Passport for Windows, Cataloger's Desktop, and GroupWise email.

PROJECTS

  1. SSH analytics. Authority records were created and serial records were corrected in 1998. MC2 will create analytic records as time allows in 2000. Roz will manage the project. Bettie will be the primary cataloger.

  2. SIO analytics. SIO staff will identify and prioritize titles to be analyzed. Essie will catalog SIO analytics from photocopies as time allows.

  3. Roz and her students will add country subdivisions to approximately 1,100 FVL bib records which have general subject headings which may be subdivided geographically. (Feature films |z France)

  4. Shirley will clear-out her problem book truck by June.


Music Section

  7. IR/PS monographs (Spanish language) -- Perform subject analysis within one week of receipt.

  8. SIO serial analytics – Perform whole book cataloging within 48 hrs. of receipt.

  9. SIO monographs (English language) -- First priority will be given to subject analysis of "new book” receipts. Second priority will be given to gifts. Perform subject analysis within one week of receipt. Ask copy searchers to date stamp the streamer when placing on OSM shelf.

  10. Continue to catalog Spanish language Mexican imprints as first priority.

  11. SSH monographs ((English language, all subject areas except literature) -- Priority 1 will be given to subject analysis of "new book” receipts. Priority 2 will be given to gifts.

  12. San Diego documents -- Catalog titles within three months of receipt.

  13. Series Added Entries establishing – One-week turnaround time.

  15. UCSD thesis and dissertation cataloging -- One-week throughput.

  16. Map cataloging:
    --With copy: Ann will spend one day per week doing map cataloging, focusing on copy cataloging of items most in demand.
    --Without copy: Ann will perform original cataloging for special request items.

  17. Catalog 52 literature monographs with receipt date older than 12/99 by April 2000.

  18. Catalog 130 k-level serial analytics by summer 2000.

  19. California documents -- Pull from IP shelves 25 titles per month and catalog.

  20. Betty will train Caroline to process added volumes.

  21. Move added volumes processing to the Database Management Section by June 30, 2000.

  22. Map cataloging: revise map procedures to reflect current practice (i.e., atlases, format integration, local decisions, etc.)

  23. Uniform title clean-up: Ann will spend one day a week cleaning up uniform titles.

  24. The Section will submit at least two name headings per month to NACO for selected original cataloging records.

  25. All section members will attend a NACO refresher training session .

  26. We will plan and schedule a meeting to review procedures and guidelines for enhancing OCLC records by summer 2000.

PROJECTS:

  1. Marilu’s Problem shelf: 63 titles.

  2. SIO Gifts: Catalog 152 SIO monographs (gift receipts) by September 2000.

  3. Shelflist Inventory Project Bounces: 71 titles need original cataloging.

  4. TechPro: Send language "dregs" to TechPro by Summer 2000 -- Boolean search the IP call numbers and pull monographs in those languages for which OSM original catalogers don't have language proficiency (i.e., Arabic, Slavic, Turkish, Hebrew, Serbo-Croatian, Yiddish, Polish, Dutch, etc.).

  5. TechPro: Send 155 Cyrillic titles to TechPro at a rate of 40 titles per month beginning in January 2000.

  6. French, German, and Italian IP books: Outsource cataloging of French, German, and Italian monographs shelved in IP (106 French titles, 98 German titles, 121 Italian)

  7. Analytics Project: Catalog 215 serial analytics bounced by MC2 Section. Level k original records will be inputted for these titles in OCLC.

Technical Services Automated Systems
