Procedure for Temporary Access to Online Serial Titles

In the past it was unclear when and if free trial access to ejournals should be added to the catalog.  SCP's policy is not to catalog temporary free or trial access resources.  UCSD catalogers may be asked to catalog temporary access for titles in CDL packages that may be included in the next CDL contract.

Cataloging temporary online access to titles is strictly limited.  All requests go through Stacy Nelson in the Electronic Resources Management unit in CARS;  if a collection manager contacts anyone else, tell him/her to send the request to Stacy at electroniclib@ucsd.edu.  Stacy will then send cataloging requests to the serials cataloger.  Stacy will also monitor the titles regularly for any changes in the status of the trial access and notifies the serials cataloger if/when the title is licensed by CDL, purchased by UCSD, or to be withdrawn.

If the title is new to the catalog, search OCLC for the appropriate record and export it to Roger.  Do not set CUS holdings in OCLC.  Add the following:   

1. Bib record:
  • Branch “net”
  • 973 0_ Bridge access through {month year}
    • Example:  973 0_ Bridge access through December 2007
    • Do not code 973 $g
  • 856 40 |3{holdings here}|zTemporary access through {month year}. Package name. Restricted to UCSD IP addresses|uURL
    • 856 40 |3v.1(2006)-|zTemporary access through December 2007. Wiley. Restricted to UCSD IP addresses|uhttp://www.native-url.com

2. nnet item record:

  • Add appropriate autostat (usually "fc")

3. nnet check-in record:

  • Add a note: n     Temporary access through {month year}

If the title is already in the catalog, add the following:

1. Bib record:

  • Branch “net” if necessary.  If the record already has online access, the LOCATION should already include "net."
  • 973 0_ Bridge access through {month year}
    • Example:  973 0_ Bridge access through December 2007
    • Do not code 973 $g
  • 856 40 |3{holdings here}|zTemporary access through {month year}. Package name. Restricted to UCSD IP addresses|uURL
    • 856 40 |3v.1(2006)-|zTemporary access through December 2007. Wiley. Restricted to UCSD IP addresses|uhttp://www.native-url.com

2. nnet item record:

  • Add appropriate autostat (usually "fce")

3. nnet check-in record:

  • Add a note: n     Temporary access through {month year}
