UC San Diego Guidelines for Recording Serial Holdings in Alma Holdings Records, Appendix 2: Examples

In June 2020, UCSD implemented the NISO Level 3 & 4 (summary & detailed holdings) national standard for recording serial holdings: ANSI/NISO Z39.71-2006 (R2011). Holdings Statements for Bibliographic Items.  This document contains examples of our past practices with corresponding examples of the NISO standard equivalent.

Holdings hierarchy

Serials holdings are always recorded in a strict hierarchy from higher to lower.  The hierarchy is:

Gaps in holdings

(Use commas to indicate gaps, semi-colons to indicate non-gap breaks)

Library has partial holdings of a serial from 1971-1980.  Missing are volumes 2 and 6.  The 866 holdings statement should read:

Complete holdings

Holdings statements are compressed when the holdings of the library are complete.  Note that captions are not repeated after the hyphen for complete holdings.

Sometimes we receive/purchase reprint issues, different editions of issues (e.g., hardcover vs. softcover), or create in-house copies of issues (e.g., photocopies, microfilm, etc.) to replace and stand in for missing issues of a serial title.  These are not cataloged separately and are treated as replacement issues for original issues.  Record the holdings based on the enumeration and chronology of the original serial run and not the reprint volumes.  Add a 866 $z note for the reprint issues if this information is readily available.

However, if the reprint volumes have been republished in such a way that the original enumeration and chronology cannot be determined or accurately represented, then record the holdings based on the reprint. In such cases, make sure the reprint is cataloged on a bib record that describes the reprint.

For example, see OCLC# 768915044. 

Made up example: A serial issued in 4 parts, each cataloged separately. The numbering scheme, however, embraces all sections of the journal. Therefore, each part does not have independent numbering and issue numbering within sections is not sequential. Articles, however, are numbered which helps with keeping track of issues within sections. 

Record exact enumeration and chronology in holdings record.  The 866 holdings statement should read:

ADD 931 note (optional, if already in bibliographic record): [Journal title] is published in specialized sections (section titles vary) according to a volume numbering scheme that emcompasses all sections of the journal. Example #2

Frequency is irregular, and volumes are kept up-to-date by cumulative annual supplements.  Publication ceased in 2006 but 3 cumulative supplements were subsequently published from 2007-2009.

22. Multiple copies of the same serial in the same location

Previously, the holdings for multiple copies of a serial in the same location were recorded on separate checkin records.  When using NISO, consolidate the holdings on one record and record the most comprehensive holdings in 866 41 $a. Add a free text public note in 866 $z to record the second copies. 

Example: Library owns 2 copies of: v.1:no.1(1891:Oct.)-v.1:no.3(1892:Feb.),v.1:no.5(1892:Apr.)-v.1:no.6(1892:May)
